Position: Sales Support Coordinator
Work Location: Pioneer / Full Time
Reports to: Sales Manager / Head of Sales
Our client, a specialist provider of automatic fire suppression systems and related fire protection solutions that help safeguard critical equipment and assets. Their products are designed to detect and suppress fires at the source, protecting businesses, industrial assets, and safety-critical environments efficiently and reliably.
Role Overview:
As a Sales Support Coordinator, you will be an essential part of the sales team, providing administrative, customer-facing, and sales operations support to ensure seamless coordination between internal teams, clients, and external partners. You’ll help drive customer satisfaction and sales efficiency by managing documentation, responding to enquiries, and supporting sales execution from lead to delivery.
Key Responsibilities:
Sales Administration & Coordination
* Prepare and process quotations, sales orders, invoices, and delivery orders accurately and in a timely manner.
* Maintain and update customer and sales records in the CRM or sales system.
* Track order status, delivery schedules, and installation coordination with oversea suppliers, local or oversea customers and internal teams
Customer Support & Communication
* Act as the first point of contact for inbound sales enquiries via phone, email, or online portals.
* Provide timely follow-ups with local or oversea customers on requests, order confirmations, delivery updates, and post-sales issues.
* Liaise with clients on documentation and compliance requirements for fire suppression system sales.
Documentation & Reporting
* Prepare regular sales reports (daily, weekly, monthly) covering quotes issued, orders won/lost, revenue updates, and pipeline status.
* Assist in compiling documentation required for tenders, quotations, and compliance (technical specs, certifications).
* Maintain organized records of contracts, correspondence, and supporting documents.
Order & Delivery Tracking
* Monitor order progress and communicate updates or issues to relevant stakeholders.
* Support logistics coordination for deliveries and customer installations.
* Work with vendors and internal teams to resolve delivery or documentation discrepancies.
Qualifications & Skills
Education & Experience
* Minimum GCE ‘N’ Level / Nitec / Higher Nitec / Diploma in any field. Sales, Marketing, Logistics, or related field (advantageous).
* 1–3 years of experience in sales support, customer service, or administrative roles is an advantage, candidates with relevant working experience will be considered.
* On-the-job training will be provided.
Skill
* Strong organizational and multitasking abilities; detail-oriented.
* Customer-centric attitude with ability to build rapport and respond proactively.
