Club Manager

About the role

Ceylon Sports Club is seeking an experienced and hands-on Club Manager to oversee the overall day-to-day operations, administration, and facility management of the club. This full-time, on-site role ensures the smooth functioning of all club activities including bookings, membership services, facilities maintenance, staff supervision, compliance, and stakeholder coordination. The Club Manager works closely with the President and Management Committee to deliver a high-quality member experience, operational efficiency, and sound governance of club affairs.

Key responsibilities

Club operations and administration

• Manage daily club operations including office administration and member services.

• Check and respond to official emails and telephone enquiries.

• Maintain records, registers, and documentation of all club activities.

• Ensure proper filing, labelling, and secure storage of all club documents.

• Liaise with the President and Management Committee on operational matters and urgent issues.

Booking and facilities management

• Manage bookings for the Function Hall, reception areas, cricket nets, and playing field.

• Maintain the booking diary and ensure accuracy of scheduling.

• Confirm bookings with clients and ensure payment is received before usage.

• Update booking boards and communication tools regularly.

• Prevent revenue leakage through proper booking and payment controls.

Membership management

• Process new membership applications and verify completeness.

• Maintain membership records and software database.

• Prepare and issue membership cards with proper acknowledgement.

• Maintain registers for membership categories and updates.

• Follow up on lapsed memberships and encourage renewals and upgrades.

• Maintain secure storage and control of membership cards.

Financial coordination and cash handling

• Coordinate with the Accounts Executive on payment verification.

• Bank cash collections such as bar revenue into bank accounts.

• Ensure proper documentation of all payment transactions.

• Support timely payment of utilities and service providers.

• Maintain basic controls over cash handling and collections.

Staff supervision and HR administration

• Supervise the Accounts Executive, bar cashier, grounds staff, and service staff.

• Monitor attendance, leave (vacation and medical), and staff documentation.

• Ensure staff follow operational procedures and SOPs.

• Maintain HR records and update the Management Committee on staffing matters.

Facilities maintenance and housekeeping

• Ensure cleanliness and upkeep of the clubhouse, office, bar, toilets, and sports facilities including the field and nets.

• Conduct regular inspections at least weekly and report on facility status.

• Coordinate maintenance for electrical, plumbing, and repair works.

• Ensure grounds staff execute their contracted duties.

• Maintain inventory of equipment and assets.

Asset and inventory control

• Maintain a register of club assets and equipment.

• Track the loan of movable equipment with proper documentation.

• Manage locker rentals and key inventory systems.

• Maintain secure control of keys and access points.

• Ensure proper documentation of all stock and assets.

Governance, compliance, and licensing

• Ensure compliance with club policies and regulatory requirements.

• Monitor and renew licenses including liquor and operations permits.

• Ensure safe management measures are followed where applicable.

• Maintain proper audit trails and documentation.

• Monitor land and lease (TOL) matters and notify the Management Committee proactively.

Meetings and committee support

• Record minutes of Management Committee meetings.

• Prepare and circulate minutes within 24 hours of each meeting.

• Maintain signed hardcopy records of all meeting minutes.

• Support the Management Committee with administrative coordination and communication.

Communication and member engagement

• Respond to member enquiries and service requests.

• Manage incoming mail and communication records.

• Notify members on important updates, renewals, and collections.

• Support engagement initiatives to improve the member experience.

Safety and compliance management

• Maintain first-aid boxes and safety supplies.

• Ensure compliance with safety and hygiene standards.

• Monitor facility risks and coordinate mitigation actions.

• Ensure the general safety of members, staff, and visitors.

• Carry out any other duties that may be assigned from time to time by management.


What we are looking for

a) Qualifications and experience

• Diploma or Degree in Business Administration, Hospitality Management, or a related field.

• Minimum 5 to 7 years of experience in operations or club and hospitality management.

• Experience managing facilities, events, or sports club operations is preferred.

b) Key skills

• Strong organisational and administrative skills.

• Good communication and stakeholder management abilities.

• Ability to multitask and manage daily operations effectively.

• Attention to detail and a compliance mindset.

• Basic financial and cash management understanding.

c) Preferred attributes

• Experience in sports clubs, associations, or community organisations.

• Familiarity with membership systems and booking platforms.

• Hands-on approach with strong problem-solving ability.

• Customer service-oriented mindset.

• Availability to work on weekends, during events, and peak activity periods as required.

• Flexibility to support club events and operations as needed.
