About the role
Ceylon Sports Club is seeking a detail-oriented and experienced Club Accountant to manage the full financial operations of the club. This full-time role is responsible for maintaining accurate accounting, ensuring strong financial governance, supporting compliance with Singapore regulatory requirements including CPF, GST, and IRAS filings, overseeing bar financial operations and inventory control, and providing timely and transparent reporting to the Management Committee. The role supports the club's transparency, audit readiness, and long-term financial sustainability.
Key responsibilities
Financial management and accounting
• Maintain a full set of accounts including General Ledger, Accounts Payable, Accounts Receivable, and Cash and Bank.
• Perform weekly bookkeeping and data entry for all financial transactions.
• Prepare monthly financial statements covering Income and Expenditure, Balance Sheet, and Cash Flow reports.
• Ensure accurate recording of all club transactions including membership fees, events, sponsorships, rentals, and subscriptions.
• Manage accruals, prepayments, and journal entries.
Payment and receivables management
• Process vendor invoices, payments, and reimbursements in line with the approval matrix.
• Track member subscriptions, event fees, and outstanding receivables.
• Follow up on overdue payments.
• Reconcile incoming funds including bank transfers, PayNow, and cash collections.
Bar financial management and inventory control
a) Revenue control
• Track daily bar sales, reconciling POS against cash and card collections to ensure completeness and accuracy of revenue recording.
• Perform daily and weekly reconciliation of bar collections.
b) Inventory management
• Maintain bar inventory records including opening stock, purchases, consumption, and closing stock.
• Conduct periodic stock counts (weekly and monthly) with independent verification.
• Track inventory variances, investigate discrepancies, and monitor slow-moving, expired, or obsolete stock.
c) Cost control
• Calculate and monitor Cost of Goods Sold (COGS) and gross margins on beverages.
• Identify leakage, wastage, or pilferage risks, and recommend pricing adjustments and margin improvements.
d) Procurement controls
• Ensure all bar purchases follow approval and vendor controls, validating supplier invoices against delivery and stock records.
• Maintain an approved supplier list.
e) Governance and compliance
• Implement segregation of duties across ordering, receiving, and recording functions.
• Maintain audit-ready documentation for stock movements, wastage, and breakage logs.
• Support surprise checks and internal audits.
Budgeting and financial planning
• Support preparation of annual budgets and forecasts.
• Monitor budget versus actual performance, highlight variances, and recommend corrective actions.
• Support funding planning for projects such as facilities upgrades and events.
Bank reconciliation and cash control
• Perform monthly bank reconciliations and ensure regular reconciliation of bank statements to prevent discrepancies.
• Maintain strong controls over cash handling, bar collections, and petty cash.
• Monitor cash flow position and liquidity.
Compliance and governance
• Ensure compliance with club financial policies, Singapore regulatory requirements, and audit standards.
• Maintain proper documentation for audit purposes and support external audits with required schedules.
• Liaise with government authorities including CPF Board and IRAS as required.
Reporting and stakeholder support
• Provide regular financial updates to the Treasurer and Management Committee, including monthly management accounts.
• Provide bar performance reports covering sales trends, inventory turnover, and margins.
• Prepare finance reports for AGM and committee meetings.
• Support sub-committees covering sports, events, and facilities with financial insights.
Systems and process improvement
• Maintain accounting systems and POS integration where applicable.
• Improve processes for bar inventory tracking, digital payments, and reporting dashboards.
• Support digitisation initiatives including online payments and financial reporting tools.
• Improve financial processes, controls, and SOPs.
Project and event finance
• Track financials for events, tournaments, and facility upgrades such as floodlights and safety nets.
• Ensure proper cost allocation and reporting for all projects.
Payroll processing
• Perform monthly payroll processing, ensuring accurate salary computation.
• Manage CPF submissions and statutory payroll compliance.
GST and statutory compliance
• Prepare and submit quarterly GST filings where applicable, maintaining supporting schedules and documentation.
• Ensure compliance with IRAS requirements.
Expense management
• Categorise and monitor expenses accurately.
• Ensure proper classification of expenses for reporting and audit purposes.
• Carry out any other duties that may be assigned from time to time by management.
What we are looking for
a) Qualifications and experience
• Diploma or Degree in Accounting, Finance, or a related field.
• Minimum 3 to 5 years of accounting experience, with preference for candidates from club, food and beverage, hospitality, or SME backgrounds.
• Strong understanding of accounting principles and financial reporting.
• Experience in inventory management and bar or food and beverage cost control is highly desirable.
• Familiarity with accounting software such as Xero, QuickBooks, SAP, or similar, and experience with POS systems.
b) Key skills
• Strong attention to detail and accuracy.
• Financial governance and compliance mindset.
• Good numerical and analytical skills.
• Advanced proficiency in Microsoft Excel and financial reporting tools.
• Good written and verbal communication skills.
• Ability to work independently, manage deadlines, and maintain confidentiality.
c) Preferred attributes
• Experience in sports clubs, associations, or non-profit organisations.
• Exposure to bar or food and beverage operations.
• Familiarity with event-based accounting and sponsorship tracking.
• Understanding of audit processes and regulatory frameworks.
• Familiarity with Singapore statutory compliance including CPF, GST, and IRAS reporting.
• Flexibility to work on-site periodically, including during audits, major events, and stock count cycles.
