Hao Ren Hao Shi (好人好事) is a non-profit organisation.  Our mission is to support low-income families by providing groceries, and cultivate a spirit of compassion and volunteerism among our youth, families and communities.

We are seeking a dedicated and organized Office Executive to join our team. The ideal candidate will play a crucial role in providing high level administrative support to organization, ensuring smooth and efficient operations.   The role demands discretion, confidentiality, strong organizational ability, and the capability to manage complex schedules and tasks with minimal supervision. This position requires a proactive individual with excellent organizational and communication skills, who is capable of handling multiple tasks and supporting various aspects of our organization.

Main responsibilities:

Office Executive

  • Executive Support:

    • Scheduling meetings, appointments, and travel arrangements.

    • Prepare and edit correspondence, communications, presentations, and other documents.

    • Screen incoming calls and emails, responding where appropriate.

    • Organize and attend meetings, taking minutes and ensuring follow-up on action items.

  • Stakeholder Engagement:

    • Serve as a liaison between the executive and internal/external stakeholders.

    • Ensure timely follow-ups and proactive communication on behalf of the executive.

  • Office Management Support:

    • Maintain filing systems, databases, and records for easy retrieval and confidentiality.

    • Insurance application and renewal

    • Ensure efficient workflow and operational excellence

    • Handle confidential and sensitive information with integrity.

    • Support HR operations including keeping staff records, preparation of HR contracts and documents 

  • Core Charity Events

    • Organising and coordinating the company’s core charity events

Qualifications

  • Minimum Diploma in Business Administration

  • 2 - 3 years of relevant work experience

  • Willing to work on weekend if required

  • Proficient in Microsoft Office Tools

  • Strong interpersonal skills and communication skills (oral and written)

  • Strong organisational and time management abilities

  • High level of discretion and professionalism

  • Computer literate with a good understanding of social media.

  • Working experience in charity organisation is preferred.
