The Administrative, Digital & Project Operations Executive provides essential support to the Corporate Communications Office through disciplined project coordination, digital systems management, and day-to-day operational execution.

The ideal candidate brings a foundation in computer science or information systems, strong digital literacy, and the ability to manage structured workflows across multiple ongoing projects. The role calls for someone who is organised, fast, accurate, and confident with CMS, Mailchimp, SurveyMonkey, and operational project tracking.

This position is primarily back-end and coordination-focused, ensuring that communications projects, updates, and internal deliverables are executed smoothly and on schedule.

Key Responsibilities include, but not limited to:

1. Digital Systems & Platform Management

  • Upload and maintain content on the Club’s website (WordPress or equivalent CMS).

  • Prepare, format, schedule, and QA-test Mailchimp eDM campaigns.

  • Build, deploy, and manage SurveyMonkey forms with proper logic flow and reporting.

2. Project Management & Coordination

  • Support the Assistant Director in managing timelines for magazine production, campaigns, and Club-wide communications projects.

  • Maintain project schedules, trackers, and checklists to ensure timely follow-through.

  • Coordinate with F&B, Events, Sports & Recreation, Membership, and other departments to gather inputs and verify deliverables.

  • Track action items for internal stakeholders and follow up systematically.

  • Prepare progress updates, summaries, and simple gantt-style trackers when needed.

  • Assist in managing vendor timelines (advertisers, printers, designers, photographers) using structured coordination channels.

  • Ensure all project tasks (eg. digital uploads, file movements) are completed accurately and on time.

3. Administrative & Operational Support

  • Upload, rename, and organise documents in shared directories and systems (e.g., Jonas).

  • Support advertising artwork submissions, templated follow-ups, and file accuracy checks.

  • Maintain trackers for publicity items, email campaigns, publications, and internal communications tasks.

  • Coordinate meeting calendars, prepare minutes, and document action items for Sub-Committee and internal project meetings.

  • Assist with logistics for communications-related initiatives and Club campaigns.

4. Communications & Publication Support (Template-Based)

  • Prepare templated operational notices and upload-ready text blocks.

  • Assist with proof checks for dates, formatting, and technical accuracy (not editorial rewriting).

  • Support magazine coordination through file organisation, artwork management, and scheduling.

  • Extract and summarise analytics from Mailchimp and SurveyMonkey for internal reporting.

Job Requirements:

Education & Technical Background

  • Diploma or Degree in Digital Media, Communications Technology, or related field.

  • Hands-on experience with:

    • WordPress or CMS platforms

    • Mailchimp

    • SurveyMonkey

    • Excel/Sheets (intermediate level)

    • Digital file management and organisation

Project Management Skills

  • Strong task tracking and follow-up discipline

  • Ability to manage multiple ongoing timelines

  • Familiarity with simple gantt charts, trackers, and progress dashboards

  • Comfortable coordinating deliverables across departments

  • Systematic and structured in workflow execution

Communication & Coordination Skills

  • Good written English, able to summarise clearly

  • Comfortable liaising with internal departments and vendors

  • Able to work independently within templates and SOPs

  • Strong clarity in documenting minutes, action items, and project updates
