About the role

We are looking for a proactive and detail-oriented Procurement & Inventory Executive to support our procurement activities and inventory management operations. The successful candidate will be responsible for managing the end-to-end purchasing process, maintaining optimal inventory levels, coordinating with suppliers, and ensuring timely availability of materials to support daily operations.

This role requires strong coordination skills, attention to detail, and the ability to work closely with internal stakeholders, suppliers, and operational teams to ensure efficient procurement processes and cost-effective inventory management.

Key Responsibilities:

1. Inventory Management

  • Monitor and maintain accurate inventory records and stock levels.

  • Plan and order materials to prevent shortages or excess stock.

  • Ensure proper and safe storage of materials.

  • Oversee inventory reconciliation and stock accuracy.

  • Manage administration related to subcontractor liaison and other workshop provisions.

2. Purchasing & Procurement Management

  • Source, evaluate, and negotiate with suppliers to achieve cost-effective procurement solutions.

  • Generate and manage Purchase Requisitions (PR) and Purchase Orders (PO).

  • Obtain and compare quotations from suppliers based on pricing, quality, delivery schedules, and service support.

  • Monitor and expedite purchase orders to ensure timely delivery of materials and services.

  • Develop and maintain strong relationships with suppliers and service providers.

  • Review supplier performance and address delivery, quality, and service issues.

  • Coordinate with internal stakeholders to understand purchasing requirements and forecast material needs.

  • Support cost reduction initiatives through strategic sourcing and supplier management.

  • Ensure procurement activities comply with company policies and procedures.

  • Maintain accurate purchasing records, contracts, quotations, and supplier documentation.

3. Materials Handling

  • Receive, inspect, and organize incoming materials.

  • Post daily material transactions, stock takes, and goods receipts via SAP.

  • Label and arrange materials for easy access and efficient retrieval.

  • Coordinate material issuance to workshop operations and project requirements.

4. Documentation and Reporting

  • Maintain accurate records of inventory and procurement transactions.

  • Prepare reports on inventory levels, stock movements, purchasing activities, and supplier performance.

  • Review, verify, and reconcile shipping documents, invoices, delivery orders, and packing lists.

  • Support month-end inventory and procurement reporting activities.

5. Process Improvement

  • Identify opportunities to improve warehouse and procurement efficiency.

  • Implement process improvements to enhance productivity, reduce costs, and optimize inventory levels.

  • Support digitalization and continuous improvement initiatives within purchasing and store operations.

6. Safety and Compliance

  • Adhere to workplace safety regulations and company policies.

  • Ensure materials are stored in accordance with safety standards.

  • Ensure procurement and inventory processes comply with internal controls and audit requirements.

What we're looking for

  • Minimum Diploma in Logistics, Supply Chain Management, or equivalent.

  • At least 2–3 years of experience in purchasing, procurement, warehouse, inventory, or logistics operations.

  • Experience in sourcing, supplier management, negotiation, and purchasing processes.

  • Strong organizational, analytical, and problem-solving skills with the ability to multitask.

  • Proficient in SAP, ERP systems, Warehouse Management Systems (WMS), and Microsoft Office applications.

  • Good understanding of inventory control, procurement best practices, and supply chain operations.

  • Good communication and interpersonal skills with the ability to work effectively with suppliers and internal stakeholders.

  • Flexible, adaptable, and able to manage multiple priorities in a fast-paced environment.
