About the Role

We are seeking a structured and detail-oriented Operations Executive to join our Central Operations team.

The role will support learner funding, enrolment, documentation, and compliance processes. The successful candidate will also take ownership of the Policy and Process Governance portfolio, including the development and maintenance of the company’s Operational Policy Manual.

This role will work closely with management and different departments to document processes, standardise procedures, coordinate policy training, and ensure employees are aware of and follow approved policies.


Key Responsibilities

Central Operations

  • Support learner enrolment, attendance, assessments, withdrawals, and funding-related administration.

  • Verify learner details, eligibility, funding documents, and submission records.

  • Maintain complete and accurate audit trails for learner and course records.

  • Follow up on incomplete documentation and resolve operational discrepancies.

  • Maintain Central Operations trackers, reports, and supporting records.

  • Support reviews, audits, and other compliance checks.

  • Coordinate with learners, companies, trainers, and internal teams when required.

Policy and Process Development

  • Support the development and maintenance of company policies, SOPs, and operational guidelines.

  • Work with different departments to understand and document existing processes.

  • Coordinate the review, approval, communication, and implementation of policies and procedures.

  • Maintain proper document control, version history, and review records.

  • Support employee briefings, training, and acknowledgement of relevant policies.

  • Support operational improvement and quality-related projects.



What We’re Looking For

  • Higher NITEC, Diploma, or Degree in Business Administration, Operations, Quality Assurance, Compliance, Education, or a related field.

  • Strong organisational, planning, and documentation skills.

  • Able to structure information and turn operational practices into clear procedures.

  • Meticulous and comfortable working with checklists, trackers, and spreadsheets.

  • Confident following up with different departments and tracking tasks to completion.

  • Able to communicate and uphold approved procedures firmly and tactfully.

  • Good written and verbal communication skills.

  • Able to work independently and manage multiple priorities.

  • Proficient in Google Drive, Google Docs, Google Sheets, Microsoft Word, and Microsoft Excel.

  • Experience in operations, SOP development, process improvement, WSQ courses, learner funding, audit preparation, or compliance will be an advantage.
