About the role
Join JLL's Integrated Facilities Management team as a Guest Services Ambassador at Mapletree Business City, where you'll be the face of our client's 100,000 sqft corporate office spanning three floors. In this dynamic role, you'll create exceptional first impressions by delivering professional hospitality services while managing essential front-of-house operations. As an individual contributor, you'll ensure seamless visitor experiences, maintain pristine workplace environments, and provide critical administrative support that keeps our client's operations running smoothly.
Key responsibilities
Deliver exceptional visitor experiences by managing registration, meet-and-greet services, luggage assistance, taxi coordination, and beverage preparation while maintaining a professional demeanor at all times
Maintain Front of House excellence across lounge areas, social spaces, meeting rooms, and Work Café, ensuring all spaces are clean, presentable, and meeting-ready while coordinating with Workplace and IT teams for cleaning, setup, and AV support
Manage restricted meeting room bookings by following established procedures, setting clear expectations with staff, providing recommendations, and proactively communicating additional resource requirements
Handle all incoming and outgoing calls via MS Teams with no unanswered calls, while maintaining updated phone directories and Executive Assistant lists
Oversee access card and security operations including issuing new cards to employees, managing temporary card issuance and retrieval, and liaising with the Security team to resolve issues
Manage mail room and FM store operations ensuring efficient handling of registered mail, parcel collection, and inventory tracking
Maintain accurate administrative records including visitor registration and declaration logs, mail and parcel logs, key log books, and temporary access card logs, ensuring all documentation is updated timely and meets the 4-hour SLA
Participate in daily huddles with the Community Lead, provide feedback on observations and improvements, and support monthly reporting by tracking key statistics such as meeting room occupancy, visitor numbers, catering requests, and client feedback
About you
2–3 years of experience in a similar Guest Services, Reception, or Front of House role within a corporate environment
Professional presentation skills with the ability to confidently interact with all organizational levels, from client staff to external contractors, while maintaining a friendly and polished corporate image
Technical proficiency with MS Teams (for calls), Outlook (email), WhatsApp (coordination), and basic Excel for tracking and reporting
Strong organizational and multitasking abilities to manage multiple priorities simultaneously while maintaining accuracy and attention to detail
Commitment to full-time onsite work
Prior experience in facilities management, property management, hospitality, or related fields
Advanced computer proficiency across multiple platforms and systems
Excellent verbal and written communication skills with ability to learn new systems quickly
Experience managing visitor registration systems and meeting room booking platforms
Knowledge of corporate office protocols and VIP guest handling
