About the role

We are seeking a diligent Accounts and Admin Assistant to join our team at ESFIRA PTE LTD. In this full-time position, you will be responsible for performing a range of accounting and administrative duties to support the smooth running of our organization.

Key Responsibilities

1. Administrative Duties:

  • Support and handle day-to-day office administration and documentation related to accounts and general administration.

  • Maintain and update filing systems, records, and databases.

  • Manage stationery and office supply inventories.

  • Assist in scheduling meetings, appointments, and travel arrangements.

  • Prepare reports, memos, and basic correspondence as required.

2. Accounts & Logistics Support:

  • Coordinate and arrange shipments (local and international) with procurement team and courier companies.

  • Track and follow up on delivery schedules to ensure timely dispatch and arrival.

  • Liaise with needful parties on shipping arrangements and requirements.

  • Handle documentation for export/import permits if applicable.

3. Communication & Coordination:

  • Act as a liaison between internal departments and external partners.

  • Update customers and internal teams on shipment statuses and potential delays.

  • Respond to administrative and logistics inquiries in a timely and professional manner.

4. Other Duties:

  • Support other departments during peak periods or as assigned by management.

  • Ensure adherence to company policies and procedures.

Requirements

  • Diploma in Accounting, Business Admin or related fields

  • 1- 2 years of experience in a similar accounts or administrative role (entry level may be accepted)

  • Proficiency with accounting software and Microsoft Office suite

  • Excellent attention to detail and the ability to maintain accurate financial records

  • Strong communication and interpersonal skills to liaise with colleagues and stakeholders

  • Flexibility to handle a variety of tasks and adapt to changing priorities
