Job Responsibilities:

  • Perform general administrative duties such as filing, typing, copying, binding, and scanning.

  • Complete operational requirements by scheduling, assigning, and expediting administrative tasks and projects.

  • Communicate politely and professionally via phone, email, and written correspondence.

  • Support the procurement team through strong organizational and communication skills

  • Maintain supplies inventory by anticipating needs, and placing orders accordingly.

  • Source for materials, services and vendors; Obtain and review quotes; added advantage for international sourcing experience.

  • In charge of daily operational purchasing such as planning, issuing and follow up on purchase orders, delivery and schedules.

  • Manage freight for inbound and outbound shipments to control costs.

  • Ensure compliance with documentation requirements, including COO and COC submissions with correct HS codes through the Chamber of Commerce.

  • Assist in other Ad Hoc administrative duties as required

Job Requirements for Executive level

  • Higher Nitec in Mechanical Engineering / Diploma/Professional Diploma in Business Management, Supply Chain Management, Procurement, or other relevant related studies with 1-2 years of procurement experience in manufacturing industry.

  • Fresh graduates are welcome to apply.

  • Ability to read and interpret technical drawings is highly preferred.

  • Familiarity with Incoterms and Harmonized System (HS) Codes is an advantage.

  • Bilingual in English and Mandarin to communicate effectively Mandarin speaking suppliers.

  • Demonstrates working proficiency in Microsoft Excel and Word.

  • Ability to read and interpret engineering drawings.

  • Ensure receipt and proper filing of all required certificates and documentation (e.g., Material Certificates, Certificates of Conformance).

  • Maintain accurate procurement and logistics records, including uploading and compiling data for reporting purposes.

  • Knowledge of the end-to-end Purchase Order (PO) process within the construction industry is an advantage.
