Role Purpose
The HR & Admin Executive is the operational backbone of Jusclean's people administration and back-office processes. This role exists to eliminate the administrative bottleneck currently constraining the Director and Operations team — covering the full employee lifecycle, MOM compliance, Xero-based finance administration, and day-to-day office management. Reliability and accuracy in back-office execution are the primary success criteria.
Key Responsibilities
1. HR Administration & MOM ComplianceProcess employment contracts, offer letters, and probation confirmation letters
Maintain accurate employee records (physical and digital) — personal particulars, pass details, emergency contacts, leave balances
Track and record MC submissions, annual leave, and no-pay leave against attendance data
Prepare payroll input data (hours, deductions, allowances) for handoff to Accounts; does not run payroll independently
Manage onboarding administration — new joiner checklists, access provisioning, uniform issuance records
Manage offboarding administration — pass cancellation, final pay computation handoff, clearance checklists
Maintain MOM-compliant HR documentation at all times; flag non-compliance risks proactively
Issue purchase orders in Xero upon receipt of approved requisitions
Scan and upload supplier invoices and delivery orders into Xero for Accounts processing
Maintain organised physical and digital filing of all financial documents — invoices, POs, delivery orders, contracts
Liaise with suppliers on order confirmations and delivery scheduling; does not approve spend independently
Support month-end document consolidation as directed by Accounts
Manage office supplies inventory and replenishment
Handle incoming and outgoing correspondence — mail, courier, filing
Maintain digital and physical document management systems; enforce consistent filing standards across the team
Support the Director and Operations team on ad hoc administrative tasks as required
