As an Assistant Manager, Facilities Management, you will be responsible for the following duties:
Provide comprehensive administrative support to the Facilities Management (FM) team to ensure smooth daily operations.
Oversee FM administrative functions, ensuring timely submissions, compliance, and accurate reporting.
Act as the liaison for IHAM system matters with stakeholders and support the FM HOD in coordinating meetings and departmental briefings.
Process service providers' invoices, claims, payments, and billings accurately and within established timelines.
Assist the FM HOD in budget planning and monitoring, including annual budget submissions, accruals, CAPEX, OPEX, and MOHRR funding.
Support procurement activities, including sourcing, purchase processing, service agreement administration, and related documentation.
Coordinate and improve administrative processes and systems, while supporting continuous improvement initiatives.
Maintain proper documentation, records, SOPs, inventories, and shared folders to ensure effective knowledge management and document control.
Support internal and external audits by preparing documentation and ensuring compliance with regulatory and quality requirements.
Coordinate administrative matters relating to Managing Agent contracts, including work orders, permits, licenses, claims, staff compliance, and asset records.
Requirements
Degree in Facilities Management or equivalent field.
Min 3 years of relevant working experience in building industry.
