Administration
Oversee and handle daily administrative operations of the school, including procurement, logistics and vendor coordination.
Oversee the accurate entry, maintenance, and periodic review of student data across school systems, ensuring data integrity, confidentiality, and compliance with school policies.
Serve as the school’s Data Protection Officer (DPO) to ensure compliance with the Personal Data Protection Act (PDPA) and group administration policies.
Provide administrative and logistical support for school events, school programmes and VIP visits.
Work with relevant internal departments for administrative matters concerning the students (eg. school fees, donation in kind and uniform and transport).
Assist with internal and external audits by preparing required documentation and ensuring compliance
Work on the annual department budget and keep track of various funding and advise Management accordingly for decision making.
Liaise with insurance broker on matters relating to insurance coverage for students and facilities.
Serve as a point of contact for parents and external agencies regarding administrative and student matters, coordinating responses and disseminating accurate and up-to-date school information as required.
Manage school contracts and liaise directly with key vendors (e.g. canteen, bus, textbook, uniform suppliers).
Provide secretariat support to School Leaders, including scheduling and minute-taking for meetings
Perform other duties as assigned by School Leaders
HR
Assist the HR Manager with recruitment. This includes advertising, short-listing and arranging for interviews for suitable candidates and thereafter manage the entire onboarding process for new employees.
Assist the HR Manager to facilitate offboarding process including exit interviews, clearance, and access termination
Assist with HR Administration (including training administration, ordering of name tags and/or name cards etc.)
Attend to HR related queries.
Job Holder Requirements and Attributes
Degree or Diploma in Human Resource Management, Business Administration, or related discipline
Minimum 3 years of hands-on experience in administration
Good command of English (e.g. both oral and written)
Familiarity with PDPA requirements and experience as a DPO (preferred but not mandatory)
Comfortable with detailed, hands-on administrative work and multitasking across functions
Proficient in Microsoft Office
Strong interpersonal, communication, and time management skills
High level of integrity, confidentiality, and attention to detail
