Responsibilities
Assist in the preparation, issuance, and evaluation of RFQs, RFPs, and tender documents.
Conduct cost analyses and pricing evaluations.
Coordinate with internal users to gather procurement requirements and specifications.
Execute tender submissions with complete and timely documentation.
Prepare and manage goods and services contracts.
Maintain and track records on contract expiry dates, renewals, insurances, warranties, and key performance indicators.
Ensure tender and procurement processes comply with internal policies and approval requirements.
Support the full tendering process, including document review, bid planning, proposal development, and submission.
Coordinate with internal stakeholders (operations, M&E, cleaning, security, landscape, procurement, HR, finance) to collect necessary inputs for tender submissions.
Prepare tender documentation, project write-ups, method statements, organization charts, and supporting materials.
Ensure strict adherence to tender requirements, formats, and submission timelines.
Assist in drafting, formatting, and proofreading proposal documents to ensure clarity, accuracy, and compliance.
Requirements
Minimum Bachelor’s degree in Quantity Surveying, Facilities Management, Marketing, or a related field.
3 years of relevant experience, ideally in IFM/FM contracts, tendering, and contract administration.
Confident in presenting and engaging with stakeholders.
Strong written communication skills.
Proficiency in MS Office applications, including Word, Excel, and PowerPoint.
