Senior Executive (6-Month Contract, Renewable)
About the Role
A leading institution is seeking a resourceful and analytical Senior Executive to provide comprehensive support in procurement, fund monitoring, and financial operations. The role involves managing administrative processes, enhancing efficiency through digital tools, and ensuring compliance across financial and procurement activities.
Contract Duration: 6 months (with possible 6-month extension)
Salary Range: Up to SGD 4,500 per month
Key Responsibilities
Procurement & Finance Administration
Manage end-to-end procurement processes including purchase requisitions, compliance checks, and vendor coordination
Support invoice processing, payment tracking, and financial reporting
Monitor and reconcile fund utilisation across research grants and operational budgets
Liaise with Finance, Procurement, and external vendors to ensure timely and accurate transactions
Fund Monitoring & Budget Tracking
Develop and maintain budget tracking tools using Excel and Power BI
Prepare regular financial reports and dashboards for stakeholders
Identify budget variances, recommend corrective actions, and ensure audit compliance
Business Travel & Claims Processing
Coordinate overseas business travel approval workflows and documentation
Verify and process travel claims in accordance with policy and procedures
Provide guidance to staff and faculty on travel and claims processes
Digitalisation & Workflow Improvement
Design and implement workflow automation using Power Automate or similar tools
Develop interactive dashboards in Power BI for procurement, claims, and fund tracking
Drive digital transformation initiatives and train colleagues on digital tools and best practices
Requirements
Qualifications & Experience
Bachelor’s degree in a relevant discipline
Prior experience in administration, finance, or procurement within a tertiary education or research environment preferred
Strong analytical, communication, and stakeholder management skills
Proven ability to manage multiple projects and deadlines effectively
Experience in budget management, project coordination, and data reporting advantageous
Exposure to automation tools or data analytics platforms preferred
Technical Skills
Proficient in Microsoft Excel (PivotTables, VLOOKUP, Power Pivot, Macros)
Working knowledge of Power BI (data visualization, dashboard creation)
Experience with Power Automate or other workflow automation tools
Familiarity with ERP or finance systems such as SAP, Ariba, Workday, or RISE is an advantage
