The HR cum Admin Executive shall be in charge of leading the worker to manage the facilities of company compound and HR & Office Administrative matters with a strong focus on resourcefulness and problem-solving skills.
Duties & Responsibilities:
1. Administrative duties
General administrative work, including data entry, filing, compiling and management of records.
Answering phone calls and attend to visitors.
Assist in preparing incoming and outgoing letters, mails and sorting out mailers, bills, etc.
Arrange, requisite and issuance of PPEs, company shirts, pantry refreshments, stationary, office items, etc for main office and site offices.
Liaise with internal stakeholders and suppliers for ad-hoc purchases such as Name card printing, Calendars printing, corporate gift, PPEs etc.
Checking of employee attendance via Time Management System software.
Compile monthly staff timesheets and prepare monthly manpower working hours reports.
Assist in maintaining leave records & follow up on submission of relevant leave forms & supporting documents.
Assist in organizing company functions and CSR activities.
Assist in booking of flight & hotel arrangements for employees.
Attend to employee queries on compensation & benefits.
Handle Employee Exit formalities.
Perform other ad-hoc HR & general administrative tasks.
2. Recruitment
Assist in the recruiting process including job advertisement posting, resume screening and arranging of interviews.
New hire orientation & issuance of PPEs & IT devices.
Handle Exit formalities.
3. Training & Development
Course registration, application of training grants and course fee payment advice.
Maintenance of training records & course evaluation records.
4. Facility Management of company compound
Lead and manage worker on housekeeping & facility maintenance matters, including performance appraisal of worker.
Maintain good housekeeping checks in company compound, report discrepancies, propose & implement improvements/rectifications.
Liaise with vendors to ensure office facilities are operating properly, ie. Water cooler, air-con servicing, office fixtures etc.
Act as Fire Warden & First Aider as part of Safety Committee for main office including Fire Evacuation and Emergency Response Team.

Be familiar with operations of all meeting room devices.
Requirements:
Minimum 3 years’ of relevant experience in Construction/Engineering/Manufacturing industry.
At least an O’Level/Diploma or other equivalent professional qualifications. Candidates without the relevant qualifications but with relevant work experience may also be considered.
Proficient in MS Office applications, eg. vlookup and pivotable an advantage.
Possess sense of ownership, honesty and integrity with positive learning attitude and proactiveness.
Organized, resourceful, detail-oriented & people-oriented.
Able to work independently under minimal supervision.
Candidates with more experience may be considered for a senior role & corresponding responsibilities for senior role.
