Key Responsibilities
Office Administration:
Manage daily office operations, handling correspondence, phones, maintaining office supplies.
Acts as the First Point of Contact for the Office, welcome visitors and accept deliveries accordingly.
Coordinate and schedule meetings, appointments, and travel arrangements for responsible teams.
Maintain and update company records, databases, filing systems, business cards etc., assist with onboarding etc.
Handling Office equipment maintenance and troubleshooting
Assist in the preparation of reports, presentations, and documentation.
Ensure a clean, organized, and professional office environment.
Liaise with vendors, service providers, and building management.
Organizing office events or team-building activities
Other ad hoc duties as assigned
Finance
Manage accounts receivable processes including receipt processing and customer follow-ups on outstanding payments.
Handle accounts payable functions such as invoice and payment processing, and resolve invoice discrepancies with vendors.
Prepare and post monthly journal entries (e.g., prepayments, accruals).
Assist with month-end closing activities.
Prepare monthly balance sheet schedules and bank reconciliations.
Ensure timely preparation of GST filings.
Support internal and external audits, as well as annual budgeting and forecasting processes.
Contribute to finance-related initiatives to support business growth.
