Job Summary:
As the Receptionist at Kang Shi Fu, you will be the welcoming face of our company and a key part of our daily operations. We are seeking a professional, friendly, and tech-savvy individual to be the first point of contact for all visitors and calls. Your role will be to create a positive impression for guests, manage front desk activities, and provide essential support to ensure our office runs smoothly.
Job Description
Responsibilities:
Greet and welcome visitors and provide a professional first impression.
Prepare and serve refreshments for visitors, clients, and in-house meetings.
Answer incoming phone calls, take accurate messages, and forward promptly.
Handle mail, couriers, and deliveries for timely distribution.
Maintain reception area presentation, including updating and operating the reception TV display.
Manage meeting rooms, including bookings and provide first level support for meeting room equipment. Ensure meeting rooms are clean, tidy and ready for meetings.
Managing and maintaining office supplies and inventory.
Liaise with building management for facility-related issues, contractors, vendors, and suppliers to address office related matters, such as equipment maintenance, cleaning services
Maintain administrative documentation, including data entry, filing, and record-keeping.
Handling travel arrangements: flight reservation, hotel accommodation, visa applications etc.
Support planning and arrangement of corporate events and activities.
Provide general administrative and clerical support.
Undertake any other projects or tasks as assigned by the management.
Requirements:
Minimum GCE ‘N’ or 'O' Level.
Previous experience as a Receptionist or in a similar administrative role. Minimum 2 to 3 years of relevant working experience.
Strong communication and interpersonal skills, with the ability to provide excellent customer service.
Proficiency in MS Office Outlook, Excel, Word and PowerPoint.
Strong attention to detail, problem-solving skills, organizational and multitasking abilities.
Good command of both verbal and written English and Mandarin to liaise with Mandarin speaking associates.
