Job Description & Requirements
Project Admin supports the day-to-day operations of the construction site, from site preparations to build-out.
He/She is able to work independently, is a team player and possesses excellent problem-solving and interpersonal skills to coordinate between the various disciplines and construction teams.
I. Core Responsibilities & Performance Expectations
1. Manage Construction Phase
Support coordination across the various disciplines and construction teams on daily routine
Perform the role of document controller to ensure system compliance
Support the management of the operations and associated risks based on established policies and procedures
Execute construction plans based on contractual terms on time, cost and quality
Communicate across disciplines and construction teams to maintain high quality assurance and control standards
2. Manage Project Completion and Closure
Support the preparation of technical documents for project handover and closure
Collate project handover and closure documents for approval and submission in compliance with the relevant regulatory and legislative requirements and maintenance
Track the list of defects identified during the defects liability period
3. Drive Safety and Sustainability
Comply with Workplace Safety and Health (WSH) policies and practices
Report accidents and incidents in accordance with WSH policies and practices
Follow organisational environmental sustainability and green building standards and guidelines
II. Job Requirements:
1. Technical Skills & Competencies
1) General Administrative Skills
Prepare minutes of meeting for monthly progress report
Support in meeting arrangement and coordination between HQ Office and Site Office
2) Project Management Skills:
Collect data to facilitate project delivery and utilize project management software
3) Stakeholder Management Skills:
Maintain working level relationships to support project implementation activities and foster partnerships
Prepare monthly progress claim to client
4) Contract Administration and Management Skills:
Support the documentation processes of contract administration and management
5) People Management Skills
Manage resources for day-to-day operations of the team’s work
Identify learning needs of team members and/or supervisees
Prepare workers related administrative works such as time card, core trade training
6) Transportation Route Schedule Planning
Carry out vehicle routing and operator scheduling

1) Communication & Interpersonal Skills:
Communicate with others to share information, respond to general inquiries and obtain specific information
2) Problem Solving Skills:
Identify problems and implement guidelines and procedures to solve problems and test solutions

Exercise self-awareness by monitoring own behaviours and ways of working in personal and professional capacities, and implement techniques for improvement
