Job Description:

We seek a dependable and detail-oriented Personal Assistant intern to support the HR and Office Manager in our growing construction firm. This role is ideal for a self-starter with or without experience in HR administration and office coordination, especially in a project-based, fast-paced construction setting. The Manager will guide the intern through the entire process if there is a lack of experience.

Responsibilities:

HR Administrative Support:
  • Assist with the recruitment process: arranging interviews, scheduling coretrade renewals and tests, and handling onboarding tasks such as booking onboarding and arranging dormitory stay for workers.

  • Maintain accurate and up-to-date employee records, certifications (e.g., CSOC, WSQ, Work Permit/Pass), and HR documentation

  • Coordinate training for site workers (e.g., safety inductions, toolbox talks, and compliance updates) - Site induction course form preparation

  • Prepare HR letters, contracts, and maintain the confidentiality of all personnel files

  • Track staff attendance, leave records, and support HR reporting

Office Management Support:
  • Assist in the day-to-day running of the office and support the site admin's needs

  • Order and monitor office and site supplies, PPE, and equipment

  • Arrange travel bookings, site transport, and meeting schedules for managers

  • Liaise with vendors, contractors, and site supervisors for smooth coordination

  • Support invoice filing, petty cash tracking, and other admin documentation

Requirements:

  • No minimum 2 years of relevant experience in admin or HR roles; construction background preferred

  • Strong organizational and communication skills

  • Proficient in Microsoft Office (Word, Excel, Outlook); knowledge of HR or construction software is an advantage, but not needed, as guidance will be provided otherwise

  • Able to manage multiple tasks and work independently under minimal supervision

  • High level of discretion and professionalism when handling confidential information

  • Singaporean/PR preferred (due to MOM regulations for local hiring), but not a deal breaker

Education:

  • Minimum: GCE 'O' Level / Higher NITEC / Diploma in Business Admin, HR, or equivalent

  • HR/WSQ certifications or related training will be an advantage
