Key Responsibilities

Volunteer Administration

• Support volunteer recruitment, screening, onboarding and deployment, including scheduling and processing necessary documentation
• Maintain accurate volunteer records, including training, availability and deployment status
• Follow up with volunteers on outstanding forms, requirements and administrative matters
• Provide administrative support to ensure smooth volunteer coordination and engagement

Training & Clinical Supervision Support

• Coordinate administrative and logistical arrangements for training sessions, Clinical Supervision and volunteer engagement activities
• Manage session scheduling, attendance records, training materials, reminders and feedback collection
• Liaise with relevant stakeholders to ensure the smooth coordination of training and engagement sessions

Programme Administration & Monitoring

• Maintain programme trackers, records and databases, ensuring information is accurate and up to date
• Support meetings and programme activities, including preparation of materials and tracking follow-up actions
• Assist with volunteer stipends, claims, procurement and other programme-related administrative matters
• Provide general administrative and coordination support to ensure the smooth running of Projects

Requirements

• Relevant field of study in Arts and Social Science, Business, Psychology, Volunteer Management or Event Management
• Good organisational and coordination skills with strong attention to detail
• Proficient in Microsoft Office applications, particularly Excel, Word and PowerPoint
• Ability to track information accurately and maintain proper records
• Comfortable managing multiple tasks and deadlines in a fast-paced environment
• Responsible, proactive and dependable with a positive working attitude
• Adaptable and willing to learn new processes
• Service-oriented with an interest in supporting community and volunteer initiatives
