About the role
Super Bean International Pte Ltd is seeking a dedicated and organised Building Facilities Administrator to join our team on a full-time basis in the Senoko North Region. This role is pivotal to ensuring the smooth operation and maintenance of our building facilities. As Building Facilities Administrator, you will be responsible for coordinating daily facility operations, managing maintenance schedules, and ensuring that our workplace environment meets the highest standards of safety, cleanliness and functionality. This position plays a crucial role in supporting our business operations and contributing to the overall success of the organisation.
Key responsibilities
Coordinate and schedule routine maintenance, repairs and facility inspections to ensure all building systems operate efficiently
Manage vendor and contractor relationships, including sourcing quotes, negotiating contracts and overseeing service delivery
Monitor and maintain accurate records of maintenance activities, facility assets, equipment warranties and service agreements
Respond promptly to facility-related issues and work requests from staff, documenting and prioritising them appropriately
Conduct regular facility walkthroughs to inspect cleanliness, safety standards and overall condition of the building
Liaise with cleaning and security personnel to ensure compliance with facility management protocols
Manage facility budgets, track expenses and prepare cost reports for management review
Ensure compliance with health, safety and environmental regulations applicable to building facilities
Coordinate with building management and landlord representatives on property-related matters
Maintain inventory of facility supplies and equipment, arranging replacements as needed
What we're looking for
Proven experience in facilities administration or building management, preferably in a corporate or commercial environment
Strong organisational and time management skills with the ability to manage multiple priorities effectively
Proficiency in Microsoft Office applications and familiarity with facilities management software
Excellent communication skills and the ability to liaise effectively with staff, vendors and external stakeholders
Knowledge of health, safety and building maintenance best practices
Attention to detail and a proactive approach to identifying and resolving facility issues
Ability to work independently and take ownership of responsibilities
Problem-solving skills and a practical approach to troubleshooting facility challenges
Relevant qualifications or certifications in facilities management or building services would be advantageous
Basic understanding of building systems, including HVAC, electrical and plumbing, is preferred
