Position Summary
The Administration Executive ensures stable, efficient, and compliant operations across HR administration and manufacturing support. Beyond routine administration, this role is expected to handle ambiguity, adapt to evolving priorities, and resolve issues quickly to maintain operational stability. By managing facilities, safety, sourcing follow‑through, expense verification, onboarding logistics, business travel, and office administration (security, guest reception, i‑Lobby), the role enables HR and production teams to focus on strategic and operational performance.
Job Responsibilities
· Manage procurement of office supplies, PPE, consumables, and indirect materials, including sourcing, vendor coordination, and purchase tracking.
· Support HR administration, including employee records management, onboarding documentation, training coordination, and compliance reporting.
· Coordinate new hire onboarding by preparing onboarding kits, arranging workspace setup, and scheduling induction programs.
· Oversee office facilities, pantry supplies, utilities, workspace allocation, and maintenance activities to ensure smooth operations.
· Review and verify employee related expense claims for accuracy and policy compliance before Finance submission.
· Coordinate corporate travel arrangements, including flights, accommodation, transportation, and approval tracking.
· Manage reception and visitor operations, including guest registration, security coordination, and administration of the visitor management system.
· Support Environmental, Health & Safety (EHS) initiatives by maintaining records, coordinating inspections, and ensuring regulatory compliance.
· Monitor administrative documentation, ensuring proper version control and adherence to company standards.
· Resolve operational issues proactively through sound judgment, root cause analysis, and corrective actions.
Job Requirements
· Bachelor’s degree in Business Administration, HR Management, or related field.
· 3–5 years of experience in administration within manufacturing or HR environments.
· Strong knowledge of HR processes, facility operations, vendor coordination, security, and visitor management systems.
· Proven ability to handle ambiguity, prioritize effectively, and resolve issues under pressure.
· Excellent organizational, coordination, and problem‑solving skills.
