We are representing our client in seeking the following:
Event Specialist
Responsibilities:
Own end-to-end event planning and execution for commercial and cross-functional events and meetings, from early planning through post-event reporting.
Lead event planning and delivery by partnering proactively with Marketing, Sales and other internal stakeholders to define objectives, scope, and success metrics.
Develop and manage event roadmaps including timelines, workstreams, stakeholder inputs, and contingency plans to ensure on-time delivery.
Own logistical planning and execution for all event elements, including venue sourcing, catering, transportation, room setup, and audio-visual requirements.
Drive vendor and supplier engagement, including sourcing, negotiating, and managing contracts/services to secure quality outcomes within budget and in line with company standards.
Create, manage, and optimize event budgets, forecasting costs, tracking spend, managing approvals as needed, and ensuring adherence to budget targets.
Ensure event readiness by overseeing planning details, confirming dependencies, and validating that event setup aligns with stakeholder requirements and brand standards.
Oversee staffing and execution support, including coordinating third-party event staff/agency resources, confirming schedules, and ensuring roles/responsibilities are clear for smooth delivery.
Provide proactive, structured stakeholder communication through regular updates, status reporting, risk/issue tracking, and escalation as required.
Requirements:
Proven experience in event coordination/management with demonstrated end-to-end ownership.
Strong project management skills, including the ability to manage multiple events and stakeholders simultaneously.
Excellent communication skills
Demonstrated ability to manage budgets and deliver within financial constraints.
Ability to work independently, take initiative, and troubleshoot issues in real time during event execution.
Proficiency in event management and procurement tools (e.g. Coupa) and Microsoft Office Suite (e.g., Excel, PowerPoint, Outlook).
Bachelor’s degree in hospitality management, marketing, or related field preferred.
Flexibility to work irregular hours, including evenings and weekends, as required by event schedules.
Strong attention to detail with a creative mindset for attendee experience and event presentation.
Experience building relationships with event vendors and providers.
