About the Role
The Senior Assistant Manager, Governance & Administration plays a key role in ensuring strong governance and effective administration of the NCCS Cancer Fund and NCC Research Fund. The incumbent serves as Secretariat to both funds and their respective committees and advisory panels, while executing grant administration processes to ensure that donor funds are handled responsibly in accordance with governance requirements.
Working closely with the Board & Senior Management as well as internal stakeholders, the role supports the effective stewardship of philanthropic funds and contributes to advancing NCCS's mission in cancer care, research & education.
This role reports to the Senior Assistant Director of Governance & Administration within the Division of Community Outreach & Philanthropy.
Some of the Key Responsibilities Include
Provide secretariat support to the Board of Trustees (NCC Research Fund), Institution Fund Committee (NCCS Cancer Fund), advisory panels, and related meetings. This includes preparing meeting documents, recording accurate minutes, and following up on matters arising
Track and manage governance compliance matters, including the IPC status of the NCC Research Fund, appointment terms for Board and Committee members, and annual Conflict of Interest declarations
Collate responses for the Governance Evaluation Checklist and Status Report for annual submission
Liaise with SingHealth Fund on matters relating to NCCS Cancer Fund, including charity governance
Support the day-to-day operations of the Charity Funds as required
Collate annual budget requests from respective departments and seek Board/Committee approval ahead of each financial year
Facilitate and follow up on financial matters arising from Finance and Audit & Risk Committee meetings for both Funds
Support and strengthen internal control processes in the management of the Charity Funds
Conduct regular donation reconciliation checks, identifying and resolving discrepancies in close coordination with the NCCS Finance Department and Fundraising team
Assist with grant-related matters and provide cover for grant management staff, including grant calls, review, award issuance, fund disbursement, and progress tracking for Oncology ACP awards via Duke-NUS
Provide overall general office administrative support to the Division
Job Requirements
Degree in Business Administration, Accountancy, Finance or related fields
At least 4 years of relevant working experience in administration, finance/accounting, or governance-related roles
Prior experience with Grant-making for either Government Grants or Philanthropic Grants will be an added advantage
Prior management experience will be an added advantage
Proficient in Microsoft Office, particularly Excel, Word and PowerPoint, and digital workflow platforms
Strong communication, organisational, and stakeholder engagement skills, with the ability to handle confidential information with discretion and professionalism
