Job Summary
The Operation cum Procurement Officer is responsible for supporting the Company’s procurement, logistics, asset coordination and administrative activities.
The role ensures that materials, equipment and services are sourced at competitive prices and delivered on time to support project and operational requirements. The officer will also coordinate collections and deliveries, arrange machinery and vehicle maintenance, track Company assets, manage PPE requirements and maintain accurate records.
Key Responsibilities
Procurement
Source and evaluate suppliers, vendors and service providers.
Obtain quotations and prepare price and cost comparisons.
Negotiate pricing, payment terms, quality requirements and delivery schedules.
Prepare and process purchase requisitions, purchase orders and related documents.
Follow up with suppliers on order status, delivery schedules and outstanding items.
Coordinate warranty claims, repairs, replacements and other after-sales matters.
Monitor material availability, pricing and supplier performance.
Maintain updated supplier lists, purchasing records and procurement documents.
Identify opportunities for cost savings and process improvement.
Operations and Logistics
Arrange the collection and delivery of materials, tools, machinery and equipment.
Coordinate with drivers, suppliers, warehouses and project sites on collection and delivery schedules.
Provide clear instructions on collection locations, delivery points, timing and contact persons.
Monitor and follow up on deliveries to ensure items reach the required location on time.
Arrange servicing, inspection, maintenance and repair of machinery and Company vehicles.
Coordinate with workshops and service providers on quotations, appointments and completion schedules.
Track and trace the location, movement and condition of Company assets.
Maintain updated asset, machinery, vehicle and equipment records.
Support the allocation and transfer of assets between project sites.
Administrative Support
Perform data entry and maintain accurate procurement, asset and operational records.
Maintain master lists, filing systems and supporting documentation.
Arrange the purchase, issuance and replenishment of personal protective equipment (PPE).
Monitor PPE stock levels and maintain issuance records.
Organise quotations, purchase orders, delivery orders, invoices and servicing records.
Prepare reports and updates when required.
Provide general administrative and operational support to management and project teams.
Requirements
Minimum 1 year of experience in procurement, purchasing, logistics, operations or administration.
Experience in the construction or engineering industry is preferred.
Diploma in Business Administration, Supply Chain Management, Logistics or a related field is advantageous.
Good negotiation, coordination and communication skills.
Strong organisational and time-management abilities.
Able to manage multiple tasks and work independently in a fast-paced environment.
Detail-oriented with good filing, data-entry and record-keeping skills.
Proficient in Microsoft Office applications.
Familiarity with procurement, inventory or ERP systems is an advantage.
Able to communicate effectively with suppliers, drivers, service providers and project-site personnel.

The Operations & Procurement Officer will work closely with the project, site, finance, administration and management teams, as well as external suppliers, drivers, workshops and service providers.
