Job Summary
The HR and Admin Executive is responsible for supporting the full spectrum of HR operations and administrative functions, including recruitment, onboarding, employee records management, payroll support, work pass administration, employee relations, and HR compliance. The role ensures smooth day-to-day HR operations while supporting employees and management on HR-related matters.
Job Responsibilities
Recruitment & Onboarding
Coordinate recruitment activities, including job postings, interview scheduling, and candidate communication
Liaise with hiring managers
Prepare employment offers and onboarding documentation
Conduct onboarding and orientation for new hires Coordinate pre-employment requirements and staff onboarding arrangements
Employee Administration
Maintain and update employee records and HR databases
Ensure proper filing and confidentiality of personnel documents
Prepare HR letters, employment certifications, and staff correspondence
Maintain organisation charts and employee master records
Support HR documentation and administrative processes
Payroll & Leave Administration
Support monthly payroll processing by preparing payroll inputs and verifying attendance, leave, and overtime records
Maintain leave records and monitor employee leave balances
Ensure timely submission of payroll
Coordinate with Finance where required
Work Pass Administration
Handle work pass applications, renewals, cancellations, and related matters
Liaise with relevant government authorities on employment-related submissions
Track expiry dates and ensure timely renewals
Maintain proper records of work pass holders
Employee Lifecycle Management
Support probation confirmation, transfers, promotions, and resignation processes
Coordinate employee offboarding and clearance procedures
Prepare relevant HR documentation related to employee movements
Employee Relations & HR Support
Attend to employee enquiries regarding HR policies and procedures
Support disciplinary and performance management processes where required
Assist in implementing employee engagement initiatives and welfare activities
Promote positive employee relations and workplace communication
HR Compliance & Policy Support
Ensure HR practices comply with company policies and employment regulations
Support implementation and communication of HR policies and procedures
Maintain updated HR templates, SOPs, and records
Job Requirements
Diploma or Degree in Human Resource Management, Business Administration, or related discipline
Relevant HR certifications will be an advantage
Minimum 1–3 years of relevant HR experience preferred
Experience in HR operations and administrative functions will be advantageous
Familiarity with local employment regulations and HR practices preferred
Proficient in Microsoft Office applications, especially Microsoft Excel, Word, and Outlook
Experience with HRIS/payroll systems will be an advantage
Able to maintain proper documentation and records accurately.
