About the Role

CapaJet is looking for a highly motivated, sharp, proactive, and detail-oriented Admin & Operations Assistant to support our daily administration, data entry, document control, checking, Excel tracking, and personal assistant duties.

This role is suitable for a lower-experience candidate who has the right attitude, strong attention to detail, good Excel skills, and the ability to learn quickly. The successful candidate will work closely with management and internal teams to ensure records, documents, reports, and follow-up matters are properly maintained and completed on time.

Key Responsibilities

Handle daily administrative work, data entry, filing, scanning, and document organization.

Maintain accurate records in Excel, Google Sheets, accounting/admin systems, and internal trackers.

Check invoices, receipts, supporting documents, payment records, staff claims, and other operational documents.

Assist with basic accounts/admin coordination, including invoice tracking, payment follow-up, and reconciliation support.

Prepare and update Excel reports, simple summaries, tables, and management trackers.

Support HR/admin matters such as employee records, leave tracking, attendance records, and document collection.

Assist management with PA duties, including scheduling, follow-ups, reminders, travel coordination, meeting notes, and document preparation.

Coordinate with internal staff, vendors, service providers, and external parties when required.

Ensure all documents are properly checked, named, saved, and filed in the correct folders.

Support aviation-related admin work, including travel records, crew/pilot expense documentation, and operational tracking where required.

Perform any other ad-hoc administrative, operational, or coordination duties assigned by management.

Job Requirements

Singapore Citizen or Permanent Resident only.

Diploma, Higher Nitec, A-Level, or equivalent qualification.

0–2 years of experience in administration, data entry, office support, PA support, accounting admin, or operations support.

Fresh graduates with strong attitude, discipline, and Excel skills may apply.

Good working knowledge of Microsoft Excel is important.

Able to work carefully with numbers, names, dates, invoices, receipts, and documents.

Strong attention to detail and able to spot mistakes.

Organized, responsible, proactive, and willing to learn.

Able to follow instructions clearly and complete tasks on time.

Comfortable working in a small but fast-moving international business environment.

Good communication skills and professional working attitude.

Discreet and able to handle confidential company and personal information.

Good to Have

Experience with Excel formulas, filters, sorting, pivot tables, or basic reporting.

Experience with Odoo, QuickBooks, Xero, Google Drive, Dropbox, or similar systems.

Experience in admin support, accounting support, HR support, logistics, travel, aviation, or service industry.

Ability to assist management as a personal assistant and follow up on pending matters independently.
