Facility Operations & Maintenance:
· Support day-to-day facilities operations across sites (M&E, HVAC, fire protection, lifts, utilities, cleaning and grounds) by coordinating service providers and tracking work completion.
· Assist to plan and track preventive and corrective maintenance activities, including statutory inspection schedules, service reports and basic asset records.
· Handle facilities requests and incidents by logging cases, coordinating contractor attendance, following up on progress and ensuring timely closure with proper documentation.
Compliance, Safety & Risk:
· Support compliance with statutory and regulatory requirements (e.g., fire safety, workplace safety, building maintenance) by maintaining records, coordinating inspections and preparing documents for audits.
· Assist in safety and emergency preparedness activities (e.g., drills, incident documentation, follow-up of corrective actions) and escalate risks or non-compliance promptly to the Facilities Manager.
· Support facilities site rules and basic permits-to-work administration by checking submissions, coordinating approvals and monitoring adherence on-site under guidance.
Contracts & Vendor Management:
· Coordinate key site service providers (e.g., security and cleaning) and support administration for other outsourced vendors (e.g., M&E, pest control, waste, landscaping) including onboarding documentation, site access arrangements and service schedules.
· Track basic SLA/KPI information (e.g., attendance/roster, patrol/housekeeping standards, service reports), follow up on gaps, and escalate recurring issues for resolution.
· Support facilities cost administration by collecting quotations, maintaining simple spend trackers, checking invoices against scope, and highlighting variances to the Facilities Manager.
Projects, Fit-Out & Capex:
· Support facility improvement works, minor fit-outs and asset replacements by coordinating schedules, tracking progress, and assisting with handover and defects follow-up.
· Liaise with landlords, consultants and internal stakeholders on routine building works, permits, access arrangements and scheduling to minimise operational disruption.
· Assist with basic budgeting support for minor works by compiling cost information, maintaining simple trackers and preparing updates on timelines and deliverables.
Sustainability, Energy & Continuous Improvement:
· Support sustainability and energy-saving activities (e.g., utilities readings, basic monitoring, waste segregation) and report observations/opportunities for improvement.
· Prepare routine facilities reporting (e.g., response times, SLA updates, utilities, incidents) and maintain trackers to support governance and decision-making.
· Identify and propose process improvements to enhance service delivery and user experience, and assist with implementation under guidance
Qualifications and Work Experience
1–3 years’ experience in facilities operations, building services, workplace support or vendor coordination. Exposure to outsourced services (e.g., security/cleaning) and basic maintenance coordination is an advantage.
Diploma in Facilities Management, Building Services/Engineering, or related field.
