What’s in it for you?
Salary Range: $2,600 – $2,800 / month (Depending on experience)
Working Hours:
Monday to Friday: 8:00 AM – 5:00 PM
Alternate Saturdays: 8:00 AM – 12:00 PM
Key Responsibilities
Reporting directly to the Executive/Operations Manager, you will play a vital role in managing vehicle inventory, coordinating transport, and ensuring top-notch customer satisfaction.
1. Inventory & Systems Management
Update the Warehouse Management System (WMS) and customer systems for inbound, outbound, import/export shipments, and vehicle duty payments.
Maintain meticulous inventory records and location plans for all car movements (inbound, relocation, shifting, etc.).
Match daily data across reports, WMS records, and physical location plans.
Backup all digital data to the shared drive and external hard disks daily.
2. Customer & Transport Coordination
Serve as the main point of contact for customer order requests, local deliveries, collections, and event arrangements.
Partner with the Operations Controller to confirm delivery jobs, timings, and daily transportation schedules.
Proactively update customers regarding inbound car defects and coordinate alternative arrangements (e.g., direct delivery to PDI centers).
Dispatch and collect physical documents to/from customers when required.
3. Documentation & Billing
Prepare essential shipment documents (Car Lists, Checklists, Pre-Clearance Defect Forms, and Permits) before vehicle collection.
Prepare import/export permits, KPI reports, and customization reports for customs compliance.
Handle billing tracking (overflow storage, transportation billing per job) and verify invoice amounts (e.g., PSA, towing invoices).
4. Internal Compliance & Team Support
Provide revenue and cost data for monthly projections by the 25th of every month.
Participate in weekly Gemba walks and Toolbox meetings, tracking findings until resolved.
Ensure adherence to Singapore Customs, LTA, ISO standards, and Workplace Safety (5S+1 standards).
Act as a designated First Aider (manage and replenish the first aid box monthly).
Support team members with ad-hoc tasks assigned by management.
Requirements
License: Must possess a valid Class 3 driving license (essential for role requirements).
Experience: Prior experience in logistics, warehousing, or automotive customer service is highly advantageous.
Skills: Proficient in data entry, WMS systems, and Microsoft Office (Excel). Strong communication skills to liaise with customers and internal controllers.
Attributes: Organized, meticulous with numbers/records, and a strong team player who can work within tight timelines.
Compliance Mindset: Awareness of customs regulations, LTA, and workplace 5S standards is a plus.
Certification: First Aid certification is preferred (or willingness to look after the company first aid kit).
