Sales Administration
Prepare quotations, proposals, and tender documents.
Process sales orders accurately and promptly.
Prepare purchase orders, delivery orders, invoices, and other sales documentation.
Maintain and update customer records and sales databases.
Coordinate with suppliers and factories on product availability and delivery schedules.
Customer Support
Handle customer enquiries via phone and email.
Follow up on quotations, purchase orders, and deliveries.
Coordinate with customers regarding project schedules and documentation.
Maintain excellent customer relationships through prompt communication.
Project Coordination
Support Sales Engineers and Project Engineers with project documentation.
Coordinate delivery schedules with logistics, suppliers, and site teams.
Monitor project progress and update customers accordingly.
Assist in preparing operation manuals, warranty documents, and handover documents.
Procurement & Logistics
Coordinate procurement activities with suppliers.
Track material deliveries and inventory status.
Arrange local and overseas shipments where required.
Liaise with freight forwarders and logistics providers.
Documentation & Reporting
Maintain accurate filing of quotations, contracts, purchase orders, invoices, and project records.
Prepare weekly and monthly sales reports.
Assist in updating CRM and ERP systems.
Ensure documentation complies with company procedures.
General Administration
Provide administrative support to the Sales, Service, and Project teams.
Schedule meetings and customer appointments.
Coordinate travel arrangements when required.
Perform other administrative duties assigned by management.
Requirements
Diploma or Degree in Business Administration, Engineering, Supply Chain, or related discipline.
Fresh graduates are welcome to apply. Candidates with 1–3 years of experience in engineering, HVAC, M&E, construction, or industrial companies will have an advantage.
Proficient in Microsoft Office (Excel, Word, Outlook).
Experience using ERP or CRM systems is an advantage.
Good written and verbal communication skills.
Strong organizational and multitasking abilities.
Able to work independently and as part of a team.
Meticulous, responsible, and customer-oriented.
