Sales Administration

  • Prepare quotations, proposals, and tender documents.

  • Process sales orders accurately and promptly.

  • Prepare purchase orders, delivery orders, invoices, and other sales documentation.

  • Maintain and update customer records and sales databases.

  • Coordinate with suppliers and factories on product availability and delivery schedules.

Customer Support

  • Handle customer enquiries via phone and email.

  • Follow up on quotations, purchase orders, and deliveries.

  • Coordinate with customers regarding project schedules and documentation.

  • Maintain excellent customer relationships through prompt communication.

Project Coordination

  • Support Sales Engineers and Project Engineers with project documentation.

  • Coordinate delivery schedules with logistics, suppliers, and site teams.

  • Monitor project progress and update customers accordingly.

  • Assist in preparing operation manuals, warranty documents, and handover documents.

Procurement & Logistics

  • Coordinate procurement activities with suppliers.

  • Track material deliveries and inventory status.

  • Arrange local and overseas shipments where required.

  • Liaise with freight forwarders and logistics providers.

Documentation & Reporting

  • Maintain accurate filing of quotations, contracts, purchase orders, invoices, and project records.

  • Prepare weekly and monthly sales reports.

  • Assist in updating CRM and ERP systems.

  • Ensure documentation complies with company procedures.

General Administration

  • Provide administrative support to the Sales, Service, and Project teams.

  • Schedule meetings and customer appointments.

  • Coordinate travel arrangements when required.

  • Perform other administrative duties assigned by management.

Requirements

  • Diploma or Degree in Business Administration, Engineering, Supply Chain, or related discipline.

  • Fresh graduates are welcome to apply. Candidates with 1–3 years of experience in engineering, HVAC, M&E, construction, or industrial companies will have an advantage.

  • Proficient in Microsoft Office (Excel, Word, Outlook).

  • Experience using ERP or CRM systems is an advantage.

  • Good written and verbal communication skills.

  • Strong organizational and multitasking abilities.

  • Able to work independently and as part of a team.

  • Meticulous, responsible, and customer-oriented.
