The Mission
The Deputy Manager supports SUTD's homeland security partnerships by keeping working-level relationships, project follow-through, and contracting workflows moving well. The role is designed for a hands-on operator who can be the day-to-day point of contact for HTX and other Home Team agencies, translate partner needs into actionable internal workstreams, and escalate strategic or high-risk matters at the right time.
What You’ll Do
Homeland security account support: Act as the day-to-day POC for HTX and selected Home Team agencies, and adjacent homeland security stakeholders where assigned.
Portfolio and opportunity management: Track assigned HTX / homeland security projects, funding calls, agency requests, internal owners, next actions, milestones, and blockers.
Project and lab coordination: Support HTX framework projects, the HTX-SUTD Multi-Agent Collaborative Lab initiative, HacX, ongoing PI projects, showcase sessions, visits, and half-yearly reporting.
Contracting and BAU administration: Coordinate standard-to-moderately complex agreements, variations, approval papers, audit responses, and supporting documentation with Legal, Finance, Procurement, PIs, and agency counterparts.
Internal briefings and writing: Prepare concise meeting briefs, agendas, action logs, concept notes, simple business cases, and partner follow-up notes for AD / Sector Lead review.
Escalation and risk management: Flag high-risk IP, publication, liability, funding, senior stakeholder, or politically sensitive issues early for AD / Sector Lead decision.
Operational improvement: Maintain accurate records, improve reusable templates / SOPs, and guide Associates or Senior Associates on task execution where assigned.
Focuses on disciplined relationship follow-through, operational delivery, and escalation rather than autonomous senior-leadership staffing.
Who We Are Looking For
Degree in a relevant discipline, with about 5-7 years of experience in partnership management, business development, public-sector engagement, research administration, project management, contracting coordination, or related roles.
Strong stakeholder management skills, especially across government, research, academic, or technology environments.
Good writing ability for briefs, emails, concept notes, meeting records, approval papers, and partner-facing materials.
Comfort coordinating agreements, grant documentation, audits, milestone reporting, and internal approval workflows.
Able to operate with discretion, structure ambiguity, follow through across multiple parties, and escalate issues clearly.
Exposure to homeland security, defence, public safety, government technology, or university research partnerships is preferred but not mandatory.
