[Contract Position]

Job Description

You will provide operational, administrative and data support for the TEACH & Community Programmes, ensuring smooth programme delivery, strong data management and reliable systems support. This role includes analysing programme and operational data, supporting digital systems, and coordinating with multiple stakeholders to enable informed decision-making.

Responsibilities

Programme Implementation and Management

  • Support the promotion of programmes to the relevant target groups and community partners

  • Manage operational and administrative matters relating to student engagement, including class assignment, attendance tracking, distribution of curriculum materials and retention, in accordance with organisational and divisional governance protocols and timelines

  • Manage operational and administrative matters relating to the deployment, service delivery, evaluation, retention, remuneration and professional development of tutors and auxiliary personnel assigned to centres, in accordance with organisational and divisional governance protocols and timelines

  • Manage operational and administrative matters relating to the smooth running of centres and assigned programme venues, in accordance with organisational and divisional governance protocols and timelines

  • Monitor and update all relevant data in the Education Management System (EMS)

  • Collate students’ internal assessment results to support the evaluation of academic performance and recognition

  • Identify students who require additional support in skills development, family circumstances or finances, and refer them to the appropriate internal or external partners in consultation with the Education Operations Manager and overseeing Head of Department

  • Manage and report all feedback received within the stipulated timelines to the Education Programme Manager and overseeing Head of Department

  • Conduct audits of programme operations and deliverables, and submit reports to the respective Manager and Head of Department

  • Manage other assigned secondary duties in accordance with organisational and divisional governance protocols and timelines

Procurement and Financial Administration

  • Manage the procurement of programme-related subscriptions and services in accordance with established standard operating procedures, financial policies and procurement guidelines

  • Support quotation sourcing, evaluation and vendor coordination to ensure cost-effectiveness and timely delivery

  • Track procurement records, inventory costs and utilisation to support budget monitoring and audit requirements

  • Liaise with vendors to manage orders, deliveries, discrepancies and performance-related issues

Data Management, Reporting and Analysis

  • Maintain accurate and up-to-date programme, student, tutor and inventory records in the Education Management System (EMS) and related platforms

  • Perform data validation and cleansing to ensure consistency and reliability across reports

  • Analyse and interpret programme, operational and resource data to generate insights that support planning and informed decision-making by Management

  • Prepare routine and ad hoc reports, dashboards and summaries for internal stakeholders

  • Support divisional KPI, audit and management reporting requirements

Projects, Events and Cross-Functional Support

  • Participate as a member of functional, working or steering committees for divisional and organisation-wide initiatives and events

  • Provide operational, data and systems support for pilots, enhancements and improvement projects within TEACH & Community Programmes

  • Assist in coordinating divisional activities such as work plan sessions, retreats or awards-related operations, where required

Requirements

  • Diploma or Degree in any discipline, preferably in Education, Business Administration, Information Management, Data Analytics or a related field, with 3 to 4 years of relevant experience in education operations, programme administration, data support or systems support roles

  • Good understanding of the Singapore education landscape

  • Demonstrated ability to engage and manage diverse groups of stakeholders (Centre Principals, Centre Administrators, Tutors, Parents, Vendors, students etc.) to ensure smooth programme delivery and prompt resolution of operational issues

  • Demonstrated experience in procurement, inventory management, and operational administration

  • Proficiency in Microsoft Office; familiarity with data visualisation tools (e.g., Excel dashboards, Power BI, Tableau) will be considered an added advantage

  • Strong analytical skills with the ability to translate data into actionable insights

  • Experience using operational systems or databases such as EMS, CRM, and programme management tools

  • Excellent verbal and written communication skills

  • Ability to work independently and collaboratively in a fast-paced environment

  • Able to participate in SINDA-wide events, when required

  • Approved Over-time hours will be compensated with time off or off-in lieu in accordance with internal policy

Selection Process

As part of the selection process, shortlisted candidates will be required to complete an Excel assessment during the interview. The assessment will cover functions such as VLOOKUP, PivotTables and conditional formulas to evaluate candidates’ ability to analyse, interpret and work with data. Candidates who perform well will progress to the next stage of the recruitment process.
