We are seeking two highly motivated and detail-oriented individuals to join our team as Admin and Finance Assistants (Grants). This position will primarily support the administrative and financial functions related to grant management within our organization. The ideal candidates should have a strong background in administration, finance, and excellent organizational skills.
Responsibilities:
1. Grant Administration:
- Assist in the preparation, review, and submission of grant proposals, ensuring compliance with all requirements and deadlines.
- Maintain accurate records of grant applications, awards, and reports.
- Coordinate with relevant stakeholders to gather necessary documentation and information for grant submissions and reporting.
- Monitor grant budgets, expenses, and provide regular financial reports to management.
- Track and ensure timely submission of grant reports, including monitoring grant activities and outcomes.
2. Financial Management:
- Assist with financial data entry, coding, and reconciliation of grant-related expenses.
- Prepare and process grant-related invoices, reimbursements, and payments.
- Collaborate with the finance team to ensure accurate recording and reporting of grant-related financial transactions.
- Assist in the preparation of financial reports and statements related to grants as required.
3. Administrative Support:
- Provide general administrative support to the grants team, including scheduling meetings, organizing files, and maintaining documentation.
- Assist in preparing meeting agendas, taking minutes, and distributing relevant materials.
- Assist in organizing and coordinating grant-related events, workshops, and conferences.
- Respond to inquiries related to grants and provide necessary information to internal and external stakeholders.
Qualifications:
- Diploma in finance, accounting, business administration, or related field.
- Previous experience in grant administration, finance, or similar roles is highly preferred.
- Strong understanding of financial principles and budget management.
- Proficient in using financial software and Microsoft Office Suite.
- Excellent organizational and time management skills to handle multiple tasks and meet deadlines.
- Strong attention to detail and accuracy.
- Excellent communication and interpersonal skills to effectively interact with team members and external stakeholders.
- Ability to work independently and collaboratively within a team environment.
- Proactive problem-solving skills and ability to adapt to changing priorities.
