Responsibilities
HR Planning
- Work closely with Bidfood managers and supervisors to understand individual team needs and challenges with respect to skills and resources.
- Maintain a close understanding of the team structure, in order to provide support and advice in times of people and business changes.
- Support managers to focus on continued productivity improvement as a key contributor to business profitability.
- Maintain strong understanding for all company policies and HR procedures.
HR operations and payroll administration
- Ensure all employee records are maintained including any changes to employment agreements, documented salary review, promotion and updated job descriptions.
- Maintain personal file records with respect to skills and training undertaken by the employee.
- Ensure ongoing legal compliance with the relevant legislation including right to work, security bond purchase and visa validity.
- Monitor time and attendance records and identify any concerns at an individual or team level.
- Ensure probation reviews are completed for all new employees with a confirmation period.
- Assist to draft and communicate company policies or notices to staff, ensuring easy access to relevant HR documentation for all staff, including appropriate multi-lingual versions.
- Support HR initiatives to continually improve the delivery of services to staff and managers.
- Support Payroll Manager to cover payroll administration and checks for payroll promptness, accuracy and legally compliant.
Recruitment
- Utilise all effective recruitment avenues and develop creative alternatives to identify potential candidate pools.
- Work with managers to ensure that suitable internal or external candidates are recruited for specific positions as required, resulting in adequate levels of trained employees.
o Ensure the validity of employee’s legal right to work in Singapore.
- In partnership with the hiring manager make an objective analysis of all relevant data to ensure that the best applicant is appointed to a position.
- Maintain a clear pathway for internal recruitment and promotion; ensuring that this is well understood by all employees.
o Maintain internal communication of vacancies and appointments.
o Provide clear and easy to use application processes suitable for the employee work area, language and preferred communication medium.
- Maintain candidate pool records for future reference.
- Ensure professional communication to close out the process for unsuccessful candidates.
o For internal applications provide the employee some feedback regarding gaps in skills or experience and potential improvement areas to focus on.
Onboarding
- Execute all new employee administration work, including employment contract, arranging medical examination, requisition of required work emails, access card, uniforms etc where applicable.
- Follow through on new appointments to receive the appropriate induction program, co-ordinated by their department manager.
Staff development & well being
- Provide support to employees seeking assistance with company benefits, resources, queries and grievances.
- Play an active role in the organising team for company events and celebrations.
- Proactively identify and communicate opportunities to improve company culture and staff well-being based on staff feedback and concerns.
- Work closely with Managers and employees in target teams to co-ordinate delivery of suitable training programs or register employees for external courses.
Management support
- Where appropriate support the manager to address and resolve productivity and team performance concerns, and to address and resolve sub-standard individual performance.
- Facilitate manager and employee relations with respect to demands, grievances or other issues; supporting the manager to address these constructively.
- Ensure any potential serious grievance is quickly communicated to appropriate management, and best practice handling of the situation follows Bidfood policy and procedure.
Disciplinary & termination process
- Ensure Bidfood policies and processes are applied consistently and fairly with all employees and inappropriate behaviour is dealt with professionally and effectively
- Where necessary work with the team manager to address formal disciplinary issues and termination whether due to poor performance or other circumstances.
Privacy and data security
- Ensure all personnel, payroll and other files are secured at all times.
- Maintain complete confidentially at all times, whereby no personal or confidential HR work information is disclosed to unauthorised persons.
Requirements
- Tertiary education in Human Resources or related field. Graduates who have passed CEI basic exam (for Comprehensive license - All) are welcome to apply too.
- Good understanding of Singapore employment laws and HR practices
- Willing to undertake HR ops generalist role, including supporting recruitment and payroll coverage work.
- Cheerful personality with passion to improve any HR team service gap(s) when feedback is given.
- Meticulous and able to interact effectively with all levels of staff, including the senior leadership team.
- Proactive and resourceful problem solver with initiative
- Work Location: 232 Pandan Loop.
