Brief Summary (of the role):
The Senior Facilities Executive supports the day-to-day maintenance, operation, and safety of the organisation’s facilities to ensure a safe, efficient, and compliant working environment. This role coordinates facilities operations and vendors, supports budgeting and reporting, and acts as a key coordinator for workplace safety and statutory compliance matters, working closely with internal stakeholders and external authorities.
Job Description (of the role):
Facilities Operations
Coordinate routine maintenance, repairs, cleaning, and upkeep of facilities to ensure operational reliability and safety standards are met.
Monitor building systems (e.g. HVAC, M&E, plumbing) and work with vendors to address preventive and corrective maintenance needs.
Support space planning and facilities setup for operational requirements.
Vendor & Contractor Coordination
Coordinate and liaise with external vendors and contractors (e.g. cleaning, security, maintenance service providers).
Monitor service delivery and escalate performance or compliance issues where necessary.
Support contract administration and renewals.
Project & Change Support
Support facilities-related projects such as installations, minor renovations, refurbishments, and departmental moves.
Coordinate timelines, vendors, and internal stakeholders to ensure smooth execution of projects.
Financial & Administrative Support
Support the preparation and monitoring of the facilities budget, including expense tracking and cost control.
Assist in identifying cost optimization and energy efficiency initiatives.
Prepare operational and cost reports for management review.
Safety, Health & Compliance
Support compliance with applicable health, safety, environmental, and building regulations and codes (e.g. MOM, NEA, SCDF, SPF and other relevant authorities).
Assist in inspections, audits, and risk assessments to maintain a safe work environment.
Follow up on corrective actions arising from audits or inspections.
People & Stakeholder Coordination
· Provide day-to-day guidance to facilities staff and service providers, where applicable.
· Work closely with internal stakeholders to address facilities-related requests and issues.
Qualifications Required:
· Diploma or Bachelors degree in Engineering, Facilities Management, or a related discipline.
· Minimum 3–5 years’ relevant experience in facilities operations, preferably within a manufacturing or MNC environment.
· Exposure to high-volume manufacturing facilities is an advantage.
Skills & Abilities Required:
· Facilities & Technical Knowledge: Working knowledge of building systems and facilities maintenance practices.
· Coordination & Communication: Strong interpersonal skills to coordinate with vendors, contractors, and internal stakeholders.
· Planning & Organisation: Ability to manage multiple operational issues and priorities effectively.
· Problem-Solving: Able to identify issues, propose solutions, and follow through on actions.
· Compliance Awareness: Good understanding of workplace safety and regulatory requirements.
