Job Scope

A. Basic Function

  • Manage day-to-day last mile delivery operations and achieve transport KPIs.

  • Plan and execute daily operations efficiently to ensure high productivity and accuracy.

  • Observe operational processes and provide feedback for continuous improvement.

  • Train, supervise, and manage subordinates, including outsourced transporters and drivers.

  • Perform delivery duties when required to support operational needs.

B. Duties and Responsibilities

Administrative Support

  • Assist the Department Executive in enforcing company policies, procedures, and guidelines.

  • Ensure strict compliance with operational rules and regulations.

  • Prepare and submit reports and documentation accurately and on time.

  • Maintain proper records of internal and external correspondence.

  • Ensure proper maintenance and upkeep of equipment and tools.

  • Analyse and monitor contractor performance to improve delivery KPIs.

  • Provide escalation support for customer service-related issues.

  • Provide accurate trip data to the billing team to support invoicing and administrative processes.

Personnel Management

  • Monitor staff attendance and punctuality; take corrective actions where necessary.

  • Prepare and verify staff overtime, meal, and transport claims.

  • Maintain records of annual leave, medical leave, and other leave types.

  • Support staff welfare matters, including medical claims and payslip collection.

  • Prepare and submit documentation for staff resignations in a timely manner.

  • Assist in organising staff engagement and recreational activities to boost morale.

  • Address staff queries relating to personnel or operational matters.

Supervisory Responsibilities

  • Supervise team members in their daily duties to ensure smooth operations.

  • Train, motivate, and develop staff to enhance skills, performance, and professionalism.

  • Conduct performance appraisals for confirmation, promotion, and annual reviews.

Security and Safety

  • Enforce security and safety policies within the operations area.

  • Implement preventive measures to reduce shrinkage and operational risks.

  • Conduct vehicle inspections to ensure delivery vans meet food safety and roadworthiness standards.

  • Ensure contractors comply with safety requirements within the warehouse and loading areas.

C. Results Expected

  • Strong teamwork and positive working relationships across all levels.

  • A motivated, productive, and committed operations team.

  • Efficient supervision that supports staff retention and performance.

  • Timely and accurate deliveries with minimal late or missed deliveries.

  • Punctual processing and dispatch of all operational documentation.

  • A safe work environment with zero tolerance for unsafe practices.

  • Continuous monitoring and achievement of yearly objectives set during performance appraisals.


Job Requirements

  • Diploma in Logistics, Engineering, Business, or a related field (preferred).

  • Minimum 2 years of experience in a supervisory role or related operations function.

  • Proven experience in last mile delivery operations.

  • Strong documentation and reporting skills.

  • Excellent planning, organisational, and time management abilities.

  • Demonstrated experience in leading and developing high-performing teams.

  • Possession of a Class 3 or 3A driving licence (preferred).

  • Proficient in Microsoft Excel.
