The Fleet Executive (Transport Admin) is responsible for supporting daily fleet operations by ensuring effective tracking, utilization, maintenance, and compliance of company vehicles and transport assets. This role focuses on administrative coordination, data tracking, and documentation to ensure fleet efficiency, cost control, and regulatory compliance.
Key Responsibilities
Fleet Operations & Asset Management
Track and monitor fleet asset utilization, including mileage and working hours, to ensure optimal usage.
Maintain accurate records of asset acquisition, disposal, transfer, and replacement.
Monitor vehicle availability and support planning for operational needs.
Ensure timely updating of fleet data in Fleetio / shared drive systems.
Maintenance & Preventive Servicing
Coordinate preventive maintenance schedules and arrange vehicle servicing with internal workshops and external vendors.
Follow up on repair status and ensure minimal vehicle downtime.
Maintain servicing and maintenance records for audit and compliance purposes.
Compliance & Documentation
Monitor and track COE, road tax, insurance, inspection, and licensing requirements to ensure timely renewals.
Ensure all fleet-related documents are properly filed and maintained in the Fleetio shared drive.
Support internal and external audits by providing accurate fleet documentation.
Fuel & Cost Monitoring
Track and monitor diesel/fuel consumption to identify anomalies and support cost control initiatives.
Generate basic reports on fuel usage, mileage, and asset performance.
Driver Administration
Manage driver assignments, ensuring drivers are properly allocated to vehicles.
Track driver licenses, validity, and eligibility, including compliance with company and regulatory requirements.
Maintain updated driver records and support onboarding of new drivers.
Reporting & Coordination
Prepare regular fleet reports on utilization, maintenance status, fuel consumption, and compliance.
Coordinate with operations, procurement, HR, and project teams on fleet-related matters.
Escalate issues such as vehicle downtime, compliance risks, or cost irregularities when required.
Qualifications
Minimum Diploma, ITE, N Level or O Level in Logistics, Transport Management, Fleet Management, Business Administration or other related fields.
Minimum 3 to 4 years of relevant experience in fleet administration, transport coordination, or logistics support.
Experience handling fleet systems (e.g. Fleetio or similar) is an advantage.
Basic understanding of vehicle maintenance, fuel tracking, and transport regulations.
Proficient in Microsoft Office (Excel, Word) and record-keeping systems.
Good organizational skills with strong attention to detail.
Ability to coordinate with drivers, vendors, and internal stakeholders.
Able to work independently and manage multiple administrative tasks.
