Job Scope
Provide administrative and secretarial support in the centre.
Ensuring patients and financial accounts data accuracy and consistency.
Maintain and handle accurate inventory of all equipment and consumables.
Updating and maintaining procedural documentation.
Main responsibilities
Administrative tasks such as sorting and archival of documents, internal dispatching, document mailing, receiving of item and inventory management
Provide onboarding orientation of new patients, updating of databases accurately
Prepare the patient monthly financial accounts and with correct allocations based on subsidy coverage
Liaison, preparation and submission of claims to respective agencies/insurance companies.
Monitor the accounts receivable collection and closely follow up the overdue accounts
Correctly charging the patients including the regular treatment fee, any additional or ad hoc services.
Invoice issuance.
Ensure timely and accurate inventory purchases, management of centre billing activities, e.g., creation/tracking of orders and invoices, ensure timely weekly/monthly reporting and payment.
Liaising with clinical staff on stocks management e.g., adequate, correct and appropriate stocks
Receiving clinic calls especially during in between patients shift and relay message to clinic staff if needed.
Coordinate and provide support for centre meetings and events.
Maintain cleanliness, safety and order at the centre’s non-treatment areas.
Monitor and assist with patient scheduling.
Liaising with suppliers/vendors other service providers or patients/family members as needed.
Support the clinical team to assist in patients' general enquiries
Any other tasks or duties that your head of department assigns to you
Other Requirements:GCE 'O' / 'N' level or NITEC qualifications
Preferably with at least 3 years’ experience as an administrative/frontline role, preferably in a dialysis setting.
Preferably with experience in handling procurement processes.
Proficient in Microsoft office (Word, Excel)
Independent, self-driven
Meticulous and with strong administration, coordination and organisational skills
