We are seeking a highly organized and proactive Secretary to provide comprehensive secretarial and administrative support to our Managing Director (MD) and manage a variety of administrative tasks. This is a dynamic role for an individual who is meticulous, discreet and a strong problem-solver.
Key Responsibilities:
MD Support: Manage the MD's schedule, including calendar maintenance, appointment scheduling, coordinate meetings and events, and handling correspondence.
Travel and Logistics: Coordinate all aspects of business travel, including booking flights, arranging accommodation, and preparing detailed travel itineraries.
Client and Visitor Management: Act as the first point of contact for clients and visitors, scheduling and preparing for client meetings, and ensuring a professional reception.
Office Administration: Handle general administrative duties such as filing, data entry, managing office supplies, and preparing reports.
Communication: Handle incoming and outgoing mail, and draft communications as needed.
Project Support: Assist with special projects and other duties as assigned by the MD.
Office Upkeep: Order and manage office supplies for the office and manage general office upkeep.
Other duties: Perform other administrative duties as needed to support the MD and the leadership team.
Requirements:
Proven experience in a secretarial role, with preference for experience supporting a senior executive.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Exceptional organizational and time-management skills.
Excellent communication and interpersonal skills.
Strong attention to detail and ability to multitask.
Ability to maintain strict confidentiality when handling sensitive information and executive matters.
Professionalism and discretion in all interactions.
