We are seeking a highly organized and proactive Secretary to provide comprehensive secretarial and administrative support to our Managing Director (MD) and manage a variety of administrative tasks. This is a dynamic role for an individual who is meticulous, discreet and a strong problem-solver. 

Key Responsibilities:

  • MD Support: Manage the MD's schedule, including calendar maintenance, appointment scheduling, coordinate meetings and events, and handling correspondence.

  •  Travel and Logistics: Coordinate all aspects of business travel, including booking flights, arranging accommodation, and preparing detailed travel itineraries.

  •  Client and Visitor Management: Act as the first point of contact for clients and visitors, scheduling and preparing for client meetings, and ensuring a professional reception.

  •  Office Administration: Handle general administrative duties such as filing, data entry, managing office supplies, and preparing reports.

  •  Communication: Handle incoming and outgoing mail, and draft communications as needed.

  •  Project Support: Assist with special projects and other duties as assigned by the MD. 

  •  Office Upkeep: Order and manage office supplies for the office and manage general office upkeep.

  •  Other duties: Perform other administrative duties as needed to support the MD and the leadership team. 

 Requirements:

  •  Proven experience in a secretarial role, with preference for experience supporting a senior executive.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Exceptional organizational and time-management skills.

  • Excellent communication and interpersonal skills.

  • Strong attention to detail and ability to multitask.

  • Ability to maintain strict confidentiality when handling sensitive information and executive matters.

  • Professionalism and discretion in all interactions.
