Key Responsibilities:
Led a team of Clinic Nurses/Assistants to ensure consistency efficiency and operation readiness
Manage monthly rosters for Clinic staff and Doctors including sourcing for locums
Monitor team schedules to make sure it is sufficiently staffed, responsible for monitoring schedules to ensure sufficient manpower daily for unplanned leave
Ensure clinics are smooth-running, and provide excellent service for our patients through leadership by example.
Continuous updates of job knowledge, PDPA regulations and MOH guidelines and ensure new policies integrate with clinic practices and workflow.
Conducted work group meetings, wrote meeting minutes, and ensured compliance with clinic standards, consistency of protocols, and adherence to standards and service quality.
Promote a culture of collaboration and coordinate with HR Accounts, and other internal departments to optimise processes for efficiency.
Assist in implementing MOH's new initiatives and partner programmes
Manage employee relationships, conducting on-the-job training, employee performance appraisals, engagement and counselling, coaching and grievance management.
Manage patient’s record in clinic management system including clean-up for duplicate codes, standardise procedures/services code and pricing
Ensure clinics' monthly revenue is healthy and kept within allocated budgets.
Perform complex billing and adjustments in clinic systems and insurance portals, audit transactions and ensure accurate records in compliance with the respective CHAS, HSG, CDMP and Medisave guidelines.
Manage clinic supplies inventory, oversee inventory ordering and stock taor, perform stock adjustments and maintenance of inventory budgets.
Respond to queries and provide timely feedback from the team, addressing and resolving issues where possible, and escalating unresolved matters professionally.
Stand in for counter duties when needed due to staff emergency leave.
Any other task assigned by her supervisor or Doctor.
Requirements
Able to work 5.5 day 44 hours including 1 night shift /1 weekend/PH
Min Diploma in relevant disciplines with a minimum 2 years of clinic operation or healthcare experience
Able to multi-task, work under pressure
Strong in directed self-driven work and able to work as a team player.
Proven ability to lead a team responsibly, work flexibly and accurately with changing priorities and deliver confidential and high-quality customer-focused service.
Experience in operations/administration in healthcare sector will be an advantage
Advanced knowledge in relevant Government and insurance schemes and subsidies.
Familiar with operating Clinic Management System.
Possess strong interpersonal, communication and problem-solving skills
