Job Summary
The Document Controls Coordinator is responsible for managing, organizing, and maintaining all project-related documentation to ensure accuracy, consistency, and compliance with established procedures. The role requires close coordination with internal teams, stakeholders, and clients to support documentation needs and ensure effective information management across all project stages.
Key Responsibilities
Collate and upload documents into centralized folder structures following set procedures.
Check documents for accuracy of spelling and grammar; edit and correct documents as required.
Review and update technical documents (e.g., manuals and workflows).
Ensure all documents and files have appropriate document management version control protocols in place.
Use proprietary digital Document Management Systems (DMS) as directed.
Notify personnel of updated document versions and provide guidance on how to access them.
Work with all documents and records across various stakeholders on a daily basis.
File all documents as digital records and ensure proper archiving.
Create document templates as requested for future use.
Retrieve files as requested by key stakeholders and clients.
Manage the flow of documentation within the organization.
Liaise with stakeholders to update documentation and prepare weekly reports to brief and present to the Client.
Maintain confidentiality around sensitive information and terms of agreement.
Assist the JLL team with assigned administrative tasks where necessary.
Skills & Attributes
The Document Controller has:
Basic understanding of construction and engineering project documentation, drawings, etc.
Familiarity with project management, which would be viewed favourably.
Knowledge and familiarity with Electronic Document Management Systems (EDMS).
Proficient typing and editing skills.
Strong data organization and attention to detail.
Ability to engage and work effectively with all levels of stakeholders, including senior executives.
Strong analytical background with attention to detail.
Excellent organizational skills with the ability to manage multiple tasks concurrently.
Demonstrated rigor and autonomy when working independently.
Ability to meet deadlines, even when timeframes are demanding.
Requirements
Proven work experience as a Document Controller or in a similar role.
Tertiary qualification in Computer Science, Business Administration, Construction/Engineering, or a related field.
Minimum of 2 years’ experience in document or records management.
Experience working with various file types.
Working knowledge and familiarity with Google Suite.
Basic knowledge and understanding of construction projects.
Good report writing skills.
Experience in Green-Field Industry.
