Job Title: Senior Executive, Administration and Corporate Services
Location: Singapore Badminton Association, OCBC Arena, 5 Stadium Drive, Singapore 397631
Job Summary: The Senior Executive, Administration and Corporate Services will manage administration functions and corporate secretarial duties for the Singapore Badminton Association and its group of companies. This role involves overseeing finance, office and IT administration, as well as supporting the Board of Directors. The Senior Executive will report directly to the Group Financial Controller.
Key Responsibilities:
Office and IT Administration
Oversee general office operations, supplies, and vendor management.
Ensure smooth functioning of IT systems and liaise with IT service providers.
Maintain asset registers and ensure proper upkeep of office equipment.
Implement and monitor administrative policies and procedures.
Corporate Secretarial Duties:
Ensure compliance with statutory and regulatory requirements for the association and its group of companies.
Prepare and file statutory returns and documents with the relevant authorities.
Organise and attend Board and committee meetings, including preparing agendas, minutes, and resolutions.
Maintain statutory registers and records.
Liaise with external regulators and advisers, such as lawyers and auditors.
Board and Committee Support
Coordinate scheduling and logistics for Board and committee meetings.
Prepare and distribute meeting materials and follow up on action items.
Maintain confidentiality and ensure proper documentation of Board decisions.
Finance and Procurement Administration
Coordinate with external auditors and tax agents for statutory compliance.
Manage petty cash, staff claims, and payment processing workflows.
Oversee procurement activities, including sourcing, vendor evaluation, and purchase order processing.
Monitor contract renewals and service agreements, ensuring alignment with operational needs and budget constraints.
CEO Personal Assistant Support
Manage the CEO’s calendar, including scheduling meetings, appointments, and travel.
Coordinate internal and external meetings, ensuring timely communication and preparation.
Handle confidential correspondence and documents with discretion.
Provide administrative support for CEO-led initiatives and engagements.
Requirements:
Degree or Diploma in Business Administration, or a related field.
Professional certification (e.g., SHRM, ICSA) is preferred.
Minimum of 3 years of experience in finance and corporate secretarial roles.
Excellent organisational and multitasking skills.
Strong interpersonal and communication skills.
Ability to work under pressure and meet tight deadlines.
Proficiency in various software and corporate secretarial software, and Microsoft Office Suite.
