About the Role
We’re looking for a proactive and organised Project Coordinator (Tenders & Procurement) to join our company. You’ll be supporting the Business Development Director and will be able to manage tasks on your own with minimal guidance, taking ownership of projects from tender submission all the way through to delivery. You’ll handle tender administration, procurement, and project coordination, liaising with clients and our internal design and production teams to make sure everything runs smoothly.
What You’ll Do
Tender & Procurement:
- Prepare and submit tender and bidding documents accurately and on time.
- Keep company profiles, track records, and tender documents up-to-date.
- Source and communicate with suppliers for quotations and procurement needs.
- Search for potential tender projects on various procurement portals and identify opportunities the company can bid for.
- Track tender deadlines and ensure all requirements are met.
- Maintain organised records of procurement, purchase orders, invoices, and contracts.
Project Coordination:
- Serve as the first point of contact for clients and internal teams after project award.
- Support the Business Development Director in overseeing projects and manage tasks independently with minimal guidance.
- Coordinate with internal design and production teams to ensure printing and production schedules are met and quality standards are maintained.
- Monitor project progress, manage delivery logistics, ensuring completed projects reach clients on time.
- Maintain accurate project documentation and records throughout the project lifecycle.
- Handle any ad hoc administrative tasks to support smooth operations.
