Working Hours: Mon- Fri 8.30am-6.00pm
Basic + AWS + VB (~approx. 2 mths)
Primary Responsibilities (80%):
Manage the Executive Director’s calendar, schedule meetings and appointments.
Coordinate meetings: prepare agendas, take minutes, follow up on action items, and arrange catering.
Handle outgoing and incoming mail distribution within the hospital and to external parties.
Perform administrative tasks such as typing, filing, scanning, photocopying, and document management.
Prepare routine correspondence, reports, and presentations.
Coordinate special projects and initiatives as directed by the Executive Director; liaise with internal departments and external partners for implementation and follow-up.
Collate and update data for departmental cost management and improvement efforts.
Manage purchase and work requisition processes, including supplier quotations and invoice submissions.
Process expense reports, course claims, night allowances, leave, and petty cash for department staff.
Maintain confidentiality and handle sensitive information discreetly.
Secondary Responsibilities (20%):
Collect and dispatch documents within hospital premises.
Monitor and manage office supplies for efficient use.
Provide general administrative support to team members as needed.
Perform other duties as assigned by the supervisor.
