Job Overview
We are seeking a detail-oriented and proactive Operations & Administration Executive to support the daily operations of our team in Singapore. This role is responsible for managing office operations, company assets, travel and mobility arrangements, and administrative logistics, while ensuring compliance with local regulations and internal policies. The ideal candidate will have strong coordination skills, a hands-on approach to problem-solving, and the ability to work independently in a cross-functional and multicultural environment.
Key Responsibilities
A) Office & Facility Operations
Oversee daily office operations, facility maintenance, safety, and compliance.
Manage office supplies, vendors, and workspace quality.
Support new office setup, renovations, and service provider management.
Handle company assets from registration to disposal.
Maintain accurate digital asset logs and assist in periodic inventory audits.
Coordinate IT asset procurement with internal teams.
Administer visa processing, employee accommodation, transportation, and travel insurance.
Provide pre-travel and onboarding training.
Ensure compliance with travel and mobility policies and assist with documentation and reimbursements.
Manage staff dormitory assignments and ensure occupancy standards.
Oversee administrative drivers and cleaning staff (if applicable).
Coordinate courier, ticketing, and office supplies.
Assist with company licensing, renewals, document archiving, and local compliance.
Support contract processing and liaison with legal and business teams.
Help organize company events, team-building activities, and external functions.
Coordinate logistics, venues, vendors, and catering.
Process reimbursements and manage petty cash.
Ensure timely and accurate expense reporting.
Support ad hoc tasks and special assignments from the platform manager or country office leadership.
Qualifications & Requirements
Diploma/bachelor’s in administrative management, business administration, or HR is preferred.
At least 3 years of experience in administrative or operations roles, preferably with multinational or Chinese MNCs.
Familiar with visa/travel, reimbursements, office and dorm operations, and asset management procedures.
Able to prioritize independently and drive cross-department communication with strong planning and execution skills.
Strong sense of responsibility, resilience under pressure, and effective self-management in remote work setup.
Proficient in MS Office with basic data and document handling skills.
Good proficiency in English and Chinese language.
