This position will start off as 6 months contract with an option to extend for another 5 months.

 

Location:

Singapore Academy of Law, next to City Hall MRT

 

Duties:

  • Programme Administration Support:

    • Assist in the logistical planning and execution of courses, seminars, workshops, and other learning events, including venue booking, catering arrangements, and material preparation.

    • Work with operations team to track participant registrations, payments, confirmations, and attendance records.

    • Work with operations team to prepare (including format) and disseminate course materials, certificates, and feedback forms.

    • Manage funding and subsidies, including liaising with funding organisations for funding subsidies and checking for funding disbursements.

    • Work with operations teams to provide on-site administrative support during events as required.

 

  • Database Management:

    • Ensure participant databases and programme records are updated with accuracy and attention to detail.

    • Updates internal systems and external websites to reflect updated and accurate information.

    • Assist in tracking and administering user access to systems.

 

  • Communication and Correspondence:

    • Handle enquiries from participants, speakers, and vendors via email and phone, escalating complex issues as needed.

    • Assist in drafting and formatting correspondence, announcements, and marketing materials related to programmes.

 

  • General Administrative Support:

    • Manage departmental calendars, schedule meetings, and assist with meeting preparations (e.g., booking venues, preparing refreshments, preparing agendas, taking minutes).

    • Process invoices, expense claims, and procurement requests in a timely manner. 

    • Assist in preparing and processing application documents for various initiatives.

    • Maintain organised filing systems (physical and digital).

    • Order and manage office supplies and other assets for the cluster.

    • Perform other ad-hoc administrative duties as assigned to support the team.

Working Hour:

Monday to Thursday: 8.30am to 6pm, Friday: 8.30am to 5.30pm

 

Salary:
$2580 - $3000
