Job Description
Operational admin
Drafting service contracts
Monitoring contract period for timely renewal
Verification of therapist timesheets
Generating service billing report
Dissemination of monthly service invoices to external partners
Reporting of indicators for Funder and Organisation (MOH quarterly reports, Monthly Dashboard, Quarterly Dashboard and OKR tracking)
Coordinate staff training registration process (application and billing)
Administrative and logistical support for Inservice training program
Managing staff AHPC Continuing Professional Education system
Attend to staff queries for administrative challenges encountered
Engage with partner agencies for annual survey and delivery of appreciation gifts
Deployment/handover coordination
Engage in therapist deployment discussions with therapy leads
Documentation of deployment plans and schedule
Communicate timelines and schedule of therapist hand overs and coverage dates with agencies point of contact
Project management/ Action Research/ Innovation
Coordination of stakeholder meetings
Consolidation of documents, legal or operational
Submission of relevant documentation or application forms
Tracking project milestones
Assist in data collection (where appropriate)
Basic data analysis
Service Quality
Assist in Agency Engagement Plan development
Monitor timelines and activities for Agency Engagement Plan
Plan and schedule related activities such as agency meetings or staff meetings
Assist in development of agency feedback survey(s)
Consolidate feedback from agency or staff
Work with therapy leads and manager for follow up plans for feedback received
Job requirement:
Degree in business management.
At least 5 years of working experience in general administrative work which include data and statistics.
Added advantage if the incumbent has worked in public agencies or social service sector.
Strong in organizational skill
Good knowledge in IT application (e.g. MS Office)
Analytical and meticulous.
Driven and able to work under pressure in an evolving environment.
Good interpersonal and communication skills.
Has the mindset to improve organizational effectiveness and efficiency.
