Responsibilities:

• Contract & Documentation Management
  • Prepare and execute Sales and Purchase Contracts upon trade confirmation.
  • Coordinate with internal and external parties for Letter of Credit (LC) issuance and negotiation in line with contractual terms.
  • Review incoming LCs to ensure accuracy and compliance with agreed terms.
  • Maintain timely, accurate, and compliant transaction records and documentation.
  Shipping & Logistics Coordination
  • Liaise with suppliers, receivers, and customers to arrange timely cargo shipment and issue shipping instructions.
  • Coordinate with shipbrokers, shipowners, and shipping agents for vessel nominations and voyage instructions.
  • Ensure compliance with Charter Party agreements and oversee loading/discharging operations.
  • Engage surveyors and agents for operational execution and quality assurance.
  Chartering & Operational Support
  • Support vessel chartering including sourcing, contract review, NOR handling, and laytime/demurrage calculations.
  • Resolve disputes and claims related to freight, deviation, or demurrage as needed.
  Invoicing & Payments
  • Manage and arrange supplier payments accurately and promptly.
  • Monitor incoming customer payments to minimize financing costs.
  • Issue accurate and timely invoices to customers and follow up on overdue payments.
  • Coordinate with Finance team to confirm receipt of funds and resolve payment issues amicably.

Requirements:

• Bachelor’s degree in Business, Logistics, Maritime Studies, or a related field.
• 2 years of the operation executive with middle distillates (Prefer cross barrel）
• Basic knowledge of chartering terms and shipping documentation (e.g. NOR, CP terms, laytime, demurrage).
• Proficient in Microsoft Office and general administrative software.
• Prior experience of chartering, liaising with shipowners or chartering departments will be advantages
