Key Responsibilities:
Inbound & Outbound Shipments
Efficiently manage end-to-end invoicing and shipping processes by preparing and verifying all relevant documentation.
Ensure full compliance with local regulations and internal company policies for all shipping activities.
Warehouse Management
Collaborate closely with the 3PL service provider to:
Ensure proper storage of packaging and sales/support materials, avoiding damage or stock discrepancies.
Deliver accurate and timely monthly inventory reports.
Maximize warehouse space usage while maintaining neatness and adherence to designated floor areas.
Ensure smooth and efficient execution of weekly delivery services.
Carnet Management
Coordinate inbound and outbound high-jewelry (HJ) shipments for Singapore boutiques.
Organize local movement of HJ items in collaboration with store and marketing teams.
Manage all carnet-related processes, ensuring accurate tracking of validity, availability of counterfoils, customs endorsement/discharge, and CITES documentation.
Perform regular stock reconciliation of HJ items across Singapore retail locations.
Buybacks, Returns & Stock Rebalancing
Oversee buyback and defective return processes from stores and business partners.
Coordinate stock rebalancing between Singapore boutiques.
Prepare and issue commercial invoices (Intercompany and Business Partners) in accordance with legal, administrative, and customs regulations.
Ensure accurate monthly shipping documentation and invoice routing to relevant departments for payment processing and approval.
Prepare monthly consignment and reservation reports in collaboration with retail teams.
Inventory Control & Stock-Take
Conduct regular physical stock counts, investigate discrepancies, and update system data per Finance & Administration (F&A) guidelines.
Maintain product integrity and security throughout all logistics phases, in compliance with F&A and security procedures.
Manage stock loans in coordination with Public Relations and Marketing teams, ensuring proper tagging, safekeeping, and adherence to compliance standards.
Oversee staff purchase processes: reconcile purchases against boutique sales and report to Finance accordingly.
Events, Fairs & Staff Sales
Plan and execute all logistics-related tasks supporting local/regional events, trade fairs, and internal staff sales initiatives.
Price Tag Management
Assist Singapore boutiques in printing and preparing price tags during price revision activities.
Key Requirements:
Minimum 2 years of experience in logistics and inventory management, ideally within the luxury sector.
Proficient in SAP software and Microsoft Excel.
